Overview September 2014: Upgrade to the Job Request System (JRS) was started due to updates to coding. Improvements have been looked into and are part of this new version of JRS. JRS enhancements: Now there will be an Approver function. There will still be an Authorized Requestor (does not require further approval) access. Formatting / Appearance. Scheduler functionality improvements. When submitting request – it doesn’t default to company / subgroup - company/subgroup/tool will need to be selected. Able to delete attachments until request is acknowledged (then the scheduler can delete if necessary) Able to locate group owner for subgroups for the company you have access to. Able to locate approver for company/subgroup of the request submitted. Stricter password requirements. Group owners – when View Users utilized, will be able to select one subgroup instead of viewing all in company. Also has an export to excel button. Confirm users – now has a requested date column and can be sorted multiple ways.

Request JRS ID (Cont) JRS ID Request Fill in the required form Make sure that your password complies with the minimum complexity requirements. Select the appropriate company. If company is not defined to JRS, send email to. When company is defined – the subgroup names need to be determined – one subgroup or multiple subgroups? Then a group owner needs to be defined for the subgroup. JJ

Request JRS ID (Cont) JRS ID Request Select appropriate Company and Sub Group. If you select a sub group that does not have a group owner, an email will been sent to JRS Support to handle your request. Otherwise the group owner receives an email notification. Select “Create User” to submit your information An email will be sent to confirm JRS ID Note: Only one JRS ID is required, if user needs to belong to more than one company/subgroup, the group owner or JRS Support can add JRS ID to other companies/subgroups.

JRS Access Levels Definition Scheduler – Scheduler access for company Enterprise Hosting…Accounts may or may not see this option. Group Owner – Should be defined to subgroup first. Confirms JRS ID requests to company/subgroup they are defined as group owners. Maintains list of individuals and access levels for subgroup. Group owner instructions link available from View Users. Approver – Approves requests submitted by Requestors. Type: Only one of the below access levels should be selected. Authorized Requestor - Able to submit requests without further approval. Requestor – Able to submit requests that requires further approval. View Only – Able to access JRS, but unable to submit requests.

Select the link “Forgot Password” on the sign in page ( ). Another page will request your JRS ID Click on Confirm. If you do not receive an email with password information or you can’t remember JRS ID, please contact system administration ( ).

Submit an Add, Change, Delete, Issue, or Temp Request (Cont) Select Options and choose appropriately. Select Company. Select group. Select system Fill out the system/tool input form. Able to attach files with the “Browse” button. Will also be able to delete attachment. Add additional email notification separated by a semicolon. Select “Submit New Request” at bottom of page.

Submit an Add, Change, Delete, Issue, or Temp Request (Cont) Once your request is submitted, a message will be displayed to let the user know the Request Identification number (ReqId) and the initial status. Awaiting Approval or Open. Note: In the screenshot the request status went into open status because of the access level of the user.

Locating a Request Go to “Search” on the toolbar OR the appropriate request queue (permanent/temporary) and look for request identification number (ReqID). To open request, select the system image located at the beginning of the request id.

An approver can approve or reject a request if it is in Awaiting Approval status and an email will be sent to notify that the request status has changed. If an approver for request is needed (or want to know), select Approvers from the toolbar. Select Company/subgroup of request. After the tool image, is selected, a pop up page will display all the information regarding your request. An approver will Approve or Reject your request.

Other Functions in JRS User Preferences To update or view personal preferences within JRS, select the “User Preferences” option on the main menu. Click on topic to update/view. Users may change the following fields: – Update Personal Information Name, Email, Phone – Change my Password – Add New Default PSSR PSSR is the default views for your requests in Permanent and Temporary queues. Automatically created from company definition. If adding additional company/subgroup to JRS ID, PSSR may need to be updated. It indicates the scheduling group responsible for requests created. Also able to view: Scheduling tools assigned to JRS ID. PSSR define to JRS ID. Access Levels for JRS ID.

Date verified closed (start and end dates) Effective Date (start and end dates) Request Number (ReqID) Request Status Request Type Scheduling tool Company JRS ID is defined to Subgroup JRS ID is defined to Customer authorization ID Note: If no parameter is selected search will only look 3 years back from current date.
