Community Classroom Distinguishing Characteristics Unpaid OJT (specific classroom hours) Weekly related classroom instruction (equiv. to three 50-min. periods per week) Workers’ Compensation Insurance (RCOE) ITP (Individualized Training Plan) - @ classroom & @ site

CVE Distinguishing Characteristics Employer Paid OJT- Employer schedule Specific classroom hours of weekly related instruction Workers’ Comp. (employer) 8 hrs per week minimum, 15 hrs maximum (for attendance recording)

Student Qualifications/Class Size Student must be a minimum of 16 years of age or in grade eleven. (CC-10082, CVE-10103) 30-75 Rule No CC/CVE course shall exceed 30 students enrolled in any one section, or a combined total of 75 students enrolled, per day, for each instructor. (CC-10089, CVE-100110)

Credit (Grading) CC-10081, CVE-10102 “The evaluation and rating of each student’s achievement in a community classroom is made on the basis of participation in related classroom instruction and unpaid [CC], paid [CVE] on-the-job training.

Teacher Responsibility Attendance & Time Cards Site supervisor signature required ( to verify OJT hours). Legal Record - kept on file for five years. CC-10085, CVE -10106

Individualized Training Plan CC-10087, CVE-10108 Indicates competencies student is expected to achieve. Duration of training noted in hours. Must be signed by student and parent. Original copy kept by teacher and photocopy at training site. Must be completed before OJT begins. Teachers prints form from YSS system

ROP Information & Authorization Form (Emergency Card) Multiple copies – site, teacher. Substitute access ** Sub coverage- Follow VOA procedures for ALL absences. Check with C/P on coverage & Communication needed/required.

Student Evaluation Minimum – 1 per grading period (every 9 weeks) Teacher - Initiation and Communication (Timeline/expectations) Student Copy File Copy classroom

Site Visitation Logs CC-10088 (a) (b) (c), CVE-10109 CC Students must be observed on site every week unless other arrangements have been made (leadership expectation). Teacher of related instruction must visit training sites. (CC-10088 a & c; CVE-10109 a & c) CVE students must be observed on site every four weeks. (minimum) Mandatory– A list of where students are placed must be kept in the roll book, sub folder and a copy in the Agreement Binder.

Training Site Visitation Logs Include input/concerns from training site supervisor Review student progress on ITP Record notes from consultation with student Make notes for related training Mandatory--Visitations must be recorded on Training Site Visitation Logs and turned in monthly!!! New ones come each Fall

Record Keeping (Site File) The following records should be kept by the site supervisor at the training site: ROP Information & Authorization Form for each student Individualized Training Plan for each student (CC-10084) Calendar of holidays, minimum days, and related instruction days Teacher business card/contact information

Training Station Agreement Used for CVE only This document allows students and parents to be aware of the requirements and expectations of the program Must be signed by student and parent. Copies must be in student file. Work Permit must be obtained for students under 18 years of age before beginning CVE.

Record Keeping (School File) The following records must be kept in the student file, by the instructor, in the classroom for five years. Individualized Training Plan Student Training Agreement Work Permit Weekly Time Card Community Site Evaluation ☺ The following records must be kept in the instructors’ file that is in the classroom for five years. CC/CVE Training Site Visitation Log Site Contracts that are kept in a notebook

Affiliation Agreements Instructor initiates contact with employer to set up training site. Employer signs agreement. Service area secretaries review template for completion and pass on to C/P for approval. Students may not begin attending OJT until the agreement is signed and executed by our CTE Director.

Affiliation Agreements- cont. Renew every 5 years (Nursing every 2 years) Yearly review of active contracts, by instructor Affiliation contact information must be current Students cannot be placed out until executed— signed by the CTE Executive Director. CP approves appropriateness of training site Expired contracts must be renewed

Affiliation Agreements– cont. Complete ALL information—Name, Address, Zip Code, Signatures, Dates, etc. Contract sharing is on a case by case basis – depends on program of study and site supervision Review affiliation agreement flow chart to understand processing timeline

Be Prepared to: Have CP observe at sites; check required records. Show auditors all records. Be held accountable for the requirements of instructing a CC/CVE program Provide a positive learning environment for students in class and on site. Be accountable for your time in instructing CC/CVE course & Site Visits.
