2 System Requirements and Project Feasibility System Requirements:  Gear Up is designing a website that will provide customers with convenient, easy to us access to products and services. The website will open dialogue with our customers, integrate them into the business and help with processing orders.  System goals: convenient to use, login feature for paying customers, secure online payment system, up to date inventory catalogue, ability for customers to contact and give feedback to Gear Up.  Our website will provide customers with a great online experience. We will manage our website effectively, and update it with real-time information so customers will be well informed. For the Gear Up website we decided to perform the following feasibility studies:  Cost-Benefit Analysis- This feasibility study will help us compare the benefits and savings associated with the Gear Up website to its costs which include development, operating, and maintenance.  Operational feasibility- This study will help us determine if the website will help us reach our desired operational objectives with the Gear Up website. Theses objectives include increased sales, opening lines of communication, and broadening the customer base.  Schedule feasibility- This study will keep the project timetable for each step of the Gear Up Website. Project Milestones  Dec 1, 2012- Project plan and business requirements, and feasibility studies completed.  Dec 5, 2012- First website prototype and database model sent to programming to be developed.  Dec 9, 2012- Second website prototype and databases created with revisions from the first, and sent to programming to be developed.  Dec 13, 2012- Final product programming received and implemented.  Dec 15, 2012- Final website and database is tested, and feedback is received.  Dec 17, 2012- Website and database are fully operational, and launched for public use. 4 Business Requirements 1. Provide convenient customer usage, with a UserID and Password feature. 2. Clear layout to provide easy access to products and services. 3. Open lines of communication between customers and management allowing feedback and suggestions. 4. Ability to manage customer accounts, and generate reports on our online business operations. 5. 5 Project Analysis The two processes we have diagrammed are the customer login process, and product ordering process.  The customer login process of the website, where enter or create a new UserID and Password, is important because customers must go through this process before they can enter the website and browse our products and services.  Diagramming the product ordering process is important because every customer who buys a product or service online must go through this process. The main goal of the GearUp website is to increase sales and revenue, so it is important that customers can go through this process conveniently and without confusion. 6 Product Ordering Process  When customers visit the GearUp wstie and have entered of created their UserID and Password they will be logged on to the home page. They will then be able to browse all of GearUp’s products and services. When a customer has decided buy a product or service, they will enter our product order process. When they enter this process they will able to see the items they are about to purchase and review the total quantity and price of each item., they will then confirm their order. The next step is the customer will enter their payment information and shipping address into our secure online payment system. Once this information is entered the customer will confirm the final order. At this time our customers will be able to provide information and feedback to GearUp about their online shopping experience, this will make it easy for management to address an suggestions, questions, or concerns that our online customers may have. Our main objective was to make the GearUp website as convenient for our customers to use as possible. So having a straightforward product ordering process was a high priority.

7 Process Diagram Plan Analyze Design Develop Test Implement Maintain Login Process This process diagram demonstrates the Login process for our customers that visit the Gear Up Website. When customers go to the Gear Up site they will login with their UserID and Password, New Customers will create their UserID and Password at this stage. Regular customers will then be directed to the home page of the website.

8 Buy Vs. Build  For the development of the GearUp website we chose to build the website instead of buying. We will hire a website designer to design the page but will run and maintain the website in house. Building our own website gave provided us with more options of customization and modification, allowing us to better meet the demands and needs of our online customers. 13 Web Site Prototype  We chose this type of prototype for our web site because we thought it would be the most effective. Here at Gear Up we value our customers. We wanted to choose a layout for our online services that was user friendly, eye catching, and beneficial to the business. This unique prototype allows our viewers to easily search a product they are looking for.  The website prototype keeps our customers involved. 15 Implementation  Phased implementation ○ The system will be implemented in small phases. ○ We believe this will help people get used to the system, without feeling like they’re forced into it We will have a user manual, and it will include a quick-lookup guide for the most common problems that we anticipate with the new system Train-the-trainer seems like the best training option for us. We will train a few key individuals, and once they’re up to speed, we’ll have them train everyone else on how to use the new system. ○ Time efficient, helps to make the system seem less intimidating For new employees, we will have a train-the-trainer system for all aspects of the company, from the databases, to the website, and even on the ERP system if their position requires access to it. 16  Maintenance is key to Gear Up!  The founding members and one IT specialist will take care of the website maintenance Adaptive ○ Once a year, we will change the layout of the website, taking into account any input that we have received on the functionality and usability of our site. ○ If customer demand rises significantly, steps will be taken to organize the flow of the website as soon as possible, to ensure the ease of use of the website. Corrective ○ We will test for system defects once a month, and fix all major defects as soon as we are aware of them. Perfective ○ Update the online catalog once a week ○ Update the gallery at the end of every night (customers would like to see their pictures up as soon as possible) ○ Keep a FAQ page, and update it once a month. Preventive ○ We will have everything backed up on a cloud server ○ Our IT specialist will be in charge of taking the steps regarding preventative maintenance.
