Scheduling a patient can be accomplished using several different procedures. The most basic of these is to bring the date on screen that you wish to schedule the patient on and select the New Appointment link located just below the tabs.

When the name is selected, the patients most current appointment history will appear along with two dropdown lists. Select the location (if different than the default location setup for that day) and the appointment type. Once selected, chose the Continue button to move to the next screen.

Simply hover & click over the areas below to activate the links.

There may be times when a patient needs to be moved. The scheduler may have inadvertently set the appointment for the wrong time, the patient may have called and needed a new time, or the Doctor may have even requested the move. Whatever the case, moving an appointment by 15 min or 15 days follows the same procedure.

Go to the current date that the appointment needing changed is on. Select the Appointment time of the appointment needing changed. This is the Appointment viewer/editor link. If the date of the appointment needs adjusted, click in the date field to allow the calendar to populate to the right. Chose the date the appointment needs moved to, the date field will automatically update. Adjust any other fields that may need updated and click the update button. The appointment has now been moved to the new date.

As a day of patients progresses the check-in process will be continuously utilized. A combination of statuses will allow the office staff to view what is going on with every patient.

After clicking on the patient’s appointment time, the Appointment Viewer-Editor screen will appear. Depending on the patient, click on the appropriate status located in yellow at the top of the screen. After the status has been chosen select the Update button to continue.

If a co-pay is required the above screen will appear after selecting the update button. Depending on the payment method and amount, several options may occur. For the Check and Credit options, a check number or authorization number for the credit card must be entered. Also, If an amount less than the required co-pay is entered, a comment as to the reason why must be entered. If no co-pay is collected select the No Copay Collected button. For the Check and Credit options, a check number or authorization number for the credit card must be entered. There may be times when a non-patient appointment needs to be created in the ProntoMed system. Once the schedule is on the date the appointment is to take place, choose the New Appointment Link under the Scheduling tab, and select the Non Medical button in the Appointment Creator screen.

As the fields are being populated, use the lists to the right anytime they appear.
