2 Interactive Reporting: Purpose “Deploy the Web-based Client function of Interactive Reporting to ensure that institutional data are standardized and made readily available to power users and other authorized users.” – Improve access to data to facilitate evidence- based discussion and decision-making and accountability – Interactively filter and query data on demand – Ensure accurate, consistent, and reliable data OIE - Institutional Research

3 Dashboard Development and Data Team Essential collaboration for developing definitions and parameters and, later, verifying data Representatives from several functional areas, including: – Admissions – Budget Office – Campus Technology Services – Cashier’s Office – Financial Aid – Human Resources – Institutional Research – Registrar OIE - Institutional Research

4 Interactive Reporting: Project Phases Phase I Dashboards for Chancellor’s Key Performance Indicators (KPIs) Phase II Reports and Dashboards for – Departments and Colleges (Deans’ KPIs) – Strategic Enrollment Management – Strategic Initiatives OIE - Institutional Research

5 Chancellor and cabinet identified KPIs Campus Data Team identified sources and definitions for KPI data Office of Institutional Effectiveness and Campus Technology Services staff developed and published queries and dashboards – Utilized training from consultant Published Eight Dashboards that present Chancellor’s KPIs grouped as: – Enrollment – Admissions – Entering Students – Financial Aid – Retention and Graduation – Degrees – Faculty – Financials Provided demonstration on accessing and using dashboards Interactive Reporting: Phase I OIE - Institutional Research

6 Interactive Reporting: Phase II Meet with individual colleges and other key stakeholders to gather requirements (Spring 2013) – Opportunity to demonstrate existing dashboards Prepared and distributed list of standardized reports/dashboards (Spring 2013) Designed and Test Reports/Dashboards (Spring/Summer 2013) Start publishing reports/dashboards (Fall 2013 and beyond) OIE - Institutional Research

7 Interactive Reporting: Data Sources OIE - Institutional Research CDR SOLAR (PeopleSoft) RDS Maintained by UW-System 10 th Day Data Aggregated Maintained by UW-P Previous Day’s Data Snapshots of 10 th Day/End of Term Aggregated Live Data Additional Sources: Other data warehouses (ie HRS) Data imported to local data warehouse Flat data files uploaded to Interactive Reporting Images uploaded to Interactive Reporting

8 Benefits: – Connection to live data warehouses Ability to publish in the workspace as a job to eliminate manual updating – Use of existing, adapted Interactive Reporting queries – Group-based permissions for publishing on the workspace – Cost – An existing tool on campus (and in UW System) – Availability of resources for training and development Utilized consultant for training and development on campus and at UW-Madison Limitations: – Basic visualization capability – Challenge of doing calculations entirely within Interactive Reporting Allows for automated updating – Development can be time consuming – No public-facing dashboards available Interactive Reporting: Pros & Cons OIE - Institutional Research

9 Access has been granted to: – Data Team – Chancellor’s Cabinet – Academic Deans – Department Chairs and Program Directors – Enrollment Management Staff – Graduate Parkside (Title III Grant Team) Increased commitment to evidence-based planning Eleven Dashboards Published – Approximately 1,500 views Most viewed are enrollment, financials, entering student, faculty and staff, admissions, and financial aid dashboards Several Other Dashboards in Development – Requests for both new dashboards and broader access Change in volume of data requests?
