3 3. SUPPLEMENTARY PARTS OF REPORT Works Cited, References, or Bibliography This section includes the works that have been cited in the text. Your method of report documentation determines how this section is developed. If you use the Modern Language Association (MLA) referencing format, all citations would be listed alphabetically in the “Works Cited.” If you use the American Psychological Association (APA) format, your list would be called “References.” Regardless of the format, you must include the author, title, publication, and date of publication, page number, and other significant data for all sources used in your report. 5 3. SUPPLEMENTARY PARTS OF REPORT Appendix The appendix contains any supplementary or supporting information needed to clarify the report. This information is relevant to some readers but not to all. Extra information that might be included in an appendix are such items as: survey forms, a survey cover letter, correspondence relating to the report, maps, other reports, optional tables. 6 Appendix If there is more than one Appendix, each appendix should have a label and title: Appendix A. Guidelines for Visuals Appendix B. Ways to Follow in Research Process These items should be referenced in the body of the report. Each Appendix should begin on a separate page and be listed on the table of contents. If your document is too long for your readers to go through quickly, an index can help them find information. For your report in this course, you won’t need to prepare this part. 9 3. SUPPLEMENTARY PARTS OF REPORT Glossary A glossary is a mini dictionary of terms that apply to the topics of the report. It includes terms that will be unfamiliar to your readers. If you believe that most of your readers will need the glossary to read the report effectively, you might move the glossary to the front of your report. For your report in this course, you don’t need to prepare a glossary. COMPONENTS OF A REPORT

11 3. SUPPLEMENTARY PARTS OF REPORT Works Cited, References, or Bibliography What are the differences among quoting, paraphrasing, and summarizing? 1.Quoting: Your words are the same as the original. You write them in “……” (quotation marks). 2.Paraphrasing: Your vocabulary & grammar are different from the original. The meaning is exactly the same as the original. All ideas are included. It is the same length as the original. 3.Summarizing Your vocabulary & grammar are different from the original. The meaning is the same as the original. It is the shorter than the original. 12 3. SUPPLEMENTARY PARTS OF REPORT Works Cited, References, or Bibliography In-text citation Insert an in-text citation for all quotations, paraphrases, and summaries. The in-text citation is written as: (Author’s Surname, Year of Publication, Page/Paragraph Number) (Tanner, 2007, pp. 33-34) The first crab attracts others to it (Tanner, 2007, pp. 33-34). If citing a source which is cited within another (secondary reference), mention the source with the secondary reference details: Smith (as cited in Jones, 2010, para. 10). 15 3. SUPPLEMENTARY PARTS OF REPORT Works Cited, References, or Bibliography End-text citation Begin your reference list on a new page and title it ‘References.’ Centre the title on the page. Double-space your reference list and have a hanging indent. See the example: COMPONENTS OF A REPORT a hanging indent is where the first line of each reference is fully left justified while subsequent lines are indented to the right. The width of the hanging indent should be 5-7 spaces or 1.25 cm.

All references cited in text must also be included in the reference list (exceptions are unpublished items such as correspondence). List the references in alphabetical order by author surname/family name. Where there are two articles with the same authors and date, order the references alphabetically by article title and add a letter suffix to the year of publication (e.g. 2003a, 2003b…). Do not add full stops to URLs (e.g. http://www.lib.monash.edu.au/) COMPONENTS OF A REPORT
