Using Excel Session 2 Dr. Gary Briers Texas A&M University
2
Seminar Goals Enter text, values, and formulas/calculations Use functions to enter formulas/do calculations Copy, drag, and paste entries Format worksheets for ease of use Save and retrieve files
3
What are the three kinds of entries in a cell?
4
Text (words, symbols, “numbers” as names)
5
What are the three kinds of entries in a cell? Text (words, symbols, “numbers” as names) Numbers (values that are supplied by the user)
6
What are the three kinds of entries in a cell? Text (words, symbols, “numbers” as names) Numbers (values that are supplied by the user) Formulas or mathematical operations or calculations
7
Why is text entered in an Excel Worksheet? Simply gives information to the user: LabelsHeadings Instructions to user Explanations of values
8
Why are numbers entered into an Excel Worksheet? Numbers provide values of variables. Thus, a CELL serves as a variable. These values must be supplied by the user for further use by the “visible calculator” of Excel. These values must be supplied by the user for further use by the “visible calculator” of Excel.
9
Why are formulas entered into an Excel Worksheet? The use of formulas constitutes the unique value of Excel. Formulas using references to other cells containing values—either entered by the user or computed earlier by Excel allow for unique uses!
10
What else does Excel do/allow to be done? Text in cells can be formatted very similar to formatting in Microsoft Word. Font type, size, color, or style Font type, size, color, or style Cells can be formatted as well— to increase column width, to increase column width, increase row height, or increase row height, or merge cells or wrap text merge cells or wrap text
11
What else does Excel do/allow to be done? Numbers appearing in cells can be formatted also. Font type, size, color, or style Font type, size, color, or style Number of decimals Number of decimals As currency ($, AMD, Euros, etc) As currency ($, AMD, Euros, etc) 12 different ways of formatting numbers 12 different ways of formatting numbers
12
What is easy and what is difficult about using Excel? VERY SIMPLE to type text into Excel. VERY SIMPLE to type values into Excel. More difficult to format inputted data. Even MORE DIFFICULT to enter formulas—and to know which to use.
13
Exercise Create an Excel worksheet similar to one of those shown to you— Grade book calculator Grade book calculator Loan calculator Loan calculator Fuel efficiency calculator Fuel efficiency calculator Data analysis calculator Data analysis calculator
14
Using Functions Copy/Paste your Function
15
Using Functions How many functions are there? There are 10 categories of functions plus “ALL.” Examining one category (statistical), there are 80 different functions! So, there are literally 100s (actually, about 300) different functions built in to Excel. Mathematical operators (+,-,*,/,=, ) are useful without knowing functions!
16
Creating Charts Using the Chart Wizard
17
Exercise Create an Excel worksheet for your own application! What is appropriate in YOUR field?
18
Summary Introduced to major applications in Office Learned to interact with Office interface Learned to create, format and edit documents Learned to create templates and documents Learned to save and print documents Learned to develop basic Excel spreadsheets Proficient enough to develop YOUR OWN application of Excel worksheets!
