#SPSSD @sanspug San Diego 2014 SharePoint Saturday San Diego November 15, 2014 UCSD Extension SharePoint Saturday San Diego November 15, 2014 UCSD Extension BEYOND INFOPATH - NINTEX FORMS Using Nintex Forms to build SharePoint Solutions without code

#SPSSD @sanspug San Diego 2014 InfoPath Lifecycle Status  From: http://blogs.office.com/2014/01/31/update-on- infopath-and-sharepoint-forms/http://blogs.office.com/2014/01/31/update-on- infopath-and-sharepoint-forms/  The InfoPath 2013 client will be supported through April 2023.  InfoPath Forms Services for SharePoint Server 2013 will be supported until April 2023.  InfoPath Forms Services in Office 365 will be supported until further notice.

#SPSSD @sanspug San Diego 2014 Key Features for Online Forms 1. List Forms 2. Workflow Forms 3. Repeating Groups 4. Views (Pages) 5. Rules 6. Data Connections 7. Mobile Support 8. External Users 9. Other Features 10. Licensing

#SPSSD @sanspug San Diego 2014 List Forms  Ability to customize the standard SharePoint forms for viewing, editing or creating new list items InfoPath (8)Nintex Forms (10) Supported for Regular lists, but NOT for Document Libraries Supported for Regular lists AND Document Libraries

#SPSSD @sanspug San Diego 2014 Workflow Forms  Ability to capture data from users in customized forms during a workflow, such approval tasks or to get data needed for integration purposes.  Common example is invoice approval, where users must not only “approve” and invoice but also enter GL codes and amounts. InfoPath (9)Nintex Forms (10) Reasonably easy to integrate into a Nintex Workflow (takes about 1 hour) A little more complex to integrate into a SharePoint Designer workflow Seamless integration with Nintex Workflow (takes no time at all) If you are using Nintex Forms, your likely not using SPD for workflow

#SPSSD @sanspug San Diego 2014 Repeating Sections  Allows one or more columns to be repeated dynamically so users can add or remove rows of data as needed.  Used to enter line item details, such as on an order form, purchase requisition or GL codes on an invoice. InfoPath (10)Nintex Forms (10) Fully Supported Repeating data is stored within form XML Repeating data can be saved to lists or databases with Data Connections in the form Fully Supported Repeating data is stored within form XML Repeating data can be persisted to a workflow variable saved to lists or databases using actions in Nintex Workflow

#SPSSD @sanspug San Diego 2014 Views  Allows large forms to be broken up into different pages or sections  Tabbed navigation between views InfoPath (10)Nintex Forms (5) Fully supported Views can represent fully separate pages or sections of the form. Not really supported yet Supports “Panels” that can contain multiple form controls Using rules, a tabbed interface can be created to show only one panel a time. A form can realistically support 5 – 6 panels (more than that and the form would become hard for the designer to maintain) Views are coming in a future version

#SPSSD @sanspug San Diego 2014 Data Connections Provides the “plumbing” in an InfoPath form to send and receive data from various data sources such as: SharePoint, databases and web services. InfoPath (10)Nintex Forms (0 or 10, depends on your perspective) Full support for data connections This allows forms to send and receive data directly without use of a “workflow”. Data connections are not available directly in Nintex Forms. Instead, Nintex Forms relies on Nintex Workflow to send and receive data. Overall functionality in Nintex Workflow is much greater than available from InfoPath data connections.

#SPSSD @sanspug San Diego 2014 Rules Configure conditional business logic without custom code  Formatting – Change look and feel of controls on the form  Validation – Warns user if the value violates a business rule  Action – things setting a control value or calling a data connection InfoPath (10)Nintex Forms (7) Full support for all three types of rules Full support for Formatting and Validation rules Action rules are not supported. Instead, Nintex Workflow provides rich support for nearly any “action” imaginable.

#SPSSD @sanspug San Diego 2014 Mobile Support Increasingly, users need to submit online forms through smart phones and tablets. For example, our session evaluation form here at SharePoint Saturday. InfoPath (3)Nintex Forms (10) Many Windows tablets ship with Office Premium Pro, which includes InfoPath Filler Not optimized for mobile Can publish layouts for browsers on smart phones and tablets. Nintex Mobile App – Windows Phone, Windows 8, iPhone, iPad and Android devices. Supports disconnected scenarios to fill out a form and submit later Supports dispatch scenarios where a form or task is assigned to a remote worker

#SPSSD @sanspug San Diego 2014 Mobile Support

#SPSSD @sanspug San Diego 2014 Other Cool “Nintex Forms” Features  Browser-Based Designer (Forms and Workflow)  Page Viewer Control  Nintex Live –  Nintex Cloud solution to allow external users to submit forms without VPN access.  Support for Short URLs.

#SPSSD @sanspug San Diego 2014 Licensing Pricing comparison for InfoPath vs. Nintex Forms depends on your situation. InfoPathNintex Forms Included with SharePoint Enterprise CALs and Office 365 E3 license If your company has this already, then InfoPath is essentially “free”. Otherwise, upgrade cost for Enterprise depends on # of users, and may be cost prohibitive For SharePoint on-prem – Priced per Web Front End server. If you have lots of users, this is less than Enterprise CALs Available as stand-alone or in bundle with Nintex Workflow. For Office 365 – priced on annual subscription fee, includes Forms and Workflow for one price.

#SPSSD @sanspug San Diego 2014 Office 365 Support InfoPathNintex Forms / Workflow Fully SupportedSeparate product for Office 365 Unique SharePoint 2013 Apps for Workflow and Forms
