GOALS OF THIS SESSION Review the How To’s in doing webforms. Discussion around where it is useful, how schools are utilizing it, concerns! Review of the Email Options - in Core and in AdminConnect. Learn the tricks, be confident that your email was successful. Talk about ways to reduce email potentially by incorporating bulletin board and/or webforms. Webforms & Email

STU.328 Maintain WEB Form Information and Responses Option to indicate what happens to forms and responses at year end STU.330 Maintain Student WEB Form Response View and/or maintain form responses for a specific student. Shows all applicable forms for the student even if no response has been given yet. STU.548 Copy WEB Forms & Responses from Previous Yearstart option to copy forms and responses from the previous year STU.558 Student WEB Form Permissions Report Great reporting for who has responded to (or not) which forms - Available STU.648 Mass Add a WEB Form Response by Tag/Student Option to mass add a response to a form for all students with a specific tag, a specific student and/or students REMINDER: Teachers in TeacherConnect can run response report for their students from TC if form type = CLS Webforms

Only direct your form to appropriate students (select by class, course, …) Don’t post the form ‘forever’ - dates means expectation Can follow up with email as STU.525 will allow you to send to particular form or no responses to a form. Attach a form (can do this in AC).. Often adds clarity! Always test your form - create your own ID in STU.255 to test Webforms

Confirmation of Course Requests Field trip permission forms IEP approvals Emergency release information Course enhancement fee approvals Webforms

EMAIL OPPORTUNITIES EMS.900 Email CIMS Reports (Output) PDF Prompt for subject and message of email for better flexibility Select to indent report in email by ¼” or not … important for REPORT CARDS ‘N’ STU.525 Mass Email Message to Parents/Students Always cc Admin Group Y and include you on that so that you know your email went because you would get a copy of it! Consider standard message Codes (STU.120) for things like monthly newsletter! **AdminConnect Send Message** - allows for attachments, previews email addresses, opportunity to export to outlook ….. STU.526 EMAIL Message Log Lookup Important option to lookup/list all email sent through STU.525 or any of the Connect products Email

EMAIL CONSIDERATIONS If there is a grammatically bad email address - email will stop dead at it If the send from is not a valid email address or looks like spam - could be troubles.. Don’t make a donotreply@donotreply.com … donotreply@retsd.mb.ca (real domain) is better Give your first send 5 minutes to go.. Blasting email upon email could confuse your email server. Check STU.526 to confirm your last send before blasting another 1000. If in doubt - send a single email to yourself from CIMS to confirm email is OK, ie: STU.525 = Test Email Y.. Then a prompt appears on screen 2 asking what email to send to. My Concern about volumes … over a million emails in a year to parents and students … Are they good with it?! Email
