4 General Reminder (2) Schools can still submit changes to school data in writing by 30 April 2009

5 Special Arrangements (1) WS1 – Non-Chinese Speaking Students (NCS) Take part in the whole assessment Maths paper in English provided, schools may opt for Maths in either language WS2 – Newly-arrival Children Take part in the whole Assessment No special administrative arrangements will be provided by HKEAA

6 Special Arrangements (2) WS3 – exempt from the whole assessment WS4 – exempt from Listening and CAV Assessments WS5 – with intellectual disability Take part in the whole assessment No special administrative arrangements will be provided by HKEAA

7 Special Arrangements (3) WS6 – using A3 QA booklets and/or auxiliary equipment Will be given sub-paper 1 for all assessments In Listening Assessments, may be given a sub- paper different from that of their classmates Question & answer booklets, CD/VCD will be packed separately WS7 – taking assessments separately and/or time extension Question & answer booklets, CD/VCD will be packed separately

8 Reports to Schools 3 reports will be issued: School report: All students Supplementary report 1: with WS1(NCS) students excluded Supplementary report 2: with WS1(NCS), WS2, WS4, WS5, WS6 and WS7 students excluded

9 Oral Assessments

10 Delivery of Assessment Materials is appointed On Monday, 20 April 2009 Between 8:00 am to 5:00 pm To be received by the Assessment Administration Supervisor (AAS) Keep the box INTACT

11 Irregularities regarding the delivery of Assessment Materials Call HKEAA if: 1. the courier pack is damaged 2. materials have not arrived by 5:00pm

12 Bad Weather on the Day for Delivery of Assessment Materials If EDB announces that secondary schools are to be closed, the delivery will be postponed to 21 April 2009

13 Quality Assurance Check On 21 April 2009 HKEAA staff will visit schools selected at random To ensure packing, delivery and receipt of assessment materials has been properly completed by the courier

14 Pre-assessment Preparation Remind the students to bring their student cards on the assessment day Prepare 3 sets of student list for each class with Chinese names, English names and class numbers of all students for each pair or Oral Examiners and AAA for attendance taking

15 Student Sample List All WS0, WS3-WS7 students are not included in the Student Sample List If these students are still found on the Student Sample List, AAS can replace them with the students on reserve and report to the Oral Examiners via AAA The Student Sample List is generated from the school data submitted as at 6 Mar 2009

18 Bad Weather on the Days of Oral Assessments - Morning If EDB announces that schools are to be closed in the morning: 28 April 2009 All assessments of the day will be rescheduled to 28 April 2009 Collection of assessment materials will be postponed to 29 April 2009

22 Reminder – Written (1) 1 carton containing the AAS Working File and all stationery in two days will be provided (Do NOT open any carton until the assessment day) All cartons are packed by assessment day and with a label to indicate the total number of carton(s) of the day Barcode labels are generated from the school data submitted as at 6 Mar 2009

23 Reminder – Written (2) Teachers are NOT permitted to invigilate their own subject classes The sequence of assessment papers in the 2 nd day has been changed Remind the Invigilators to bring along their personal copies of the Invigilators’ Handbook for use at the assessment sessions (to be sent to schools by DHL on 27 May)

24 Delivery of Assessment Materials is appointed On 17 or 18 June 2009 Between 8:00 am to 5:00 pm Same receipt procedures as Oral Assessments

26 Time of Assessments All schools to start at 8:45 am on both days (with 15 minutes flexibility) Students with special needs may start earlier All schools must follow the assessment timetables given in the Instructions to AAS 1:15 p.m.All schools must finish the assessments by 1:15 p.m.

32 Support to Non-Chinese Students (NCS) Additional bilingual (Chinese and English) instructions for all Chinese assessment papers will be provided to each WS1 student Enough copies of instructions will be put into the Stationery Box, AAS can distribute the instructions to their WS1 students if necessary

33 Support to Non-Chinese Students (NCS) Ask the invigilators to collect the instructions and put them into the Envelopes for Surplus Materials

34 Procedures Related to Onscreen Marking (OSM) Both question booklets and answer booklets will be used for all assessment sessions (except Chinese Writing using question- answer booklets (QA booklets)) Students are required to stick barcode labels onto the cover and inner pages of their worked answer booklets / QA booklets Students are required to use dark blue or black pens to answer questions other than MC questions

39 Sticking Barcode Labels (5) Students without barcode labels bearing their class numbers or do not have sufficient reserve labels should simply fill in their respective school code, class name and class number on the cover page of the answer booklet / QA booklet HKEAA will process these answer booklets / QA booklets separately

40 Answering MC Questions Blacken the circles with HB pencils The use of HB pencils produces the best effect. The use of HB mechanical pencil is also acceptable.

41 Writing within the Frames Answers written outside the frames will NOT be marked

42 Special Arrangements – Students Requiring Enlarged QPs (1) Will be given sub-paper 1 for all assessments

43 Special Arrangements – Students Requiring Enlarged QPs (2) In Listening Assessments, students may be given a sub-paper different from that of their classmates. In such case, schools should arrange for them to be assessed in a separate room or put them in a class using the same sub- paper

44 Special Arrangements – Students Taking Assessments Separately (1) Will be given the same sub-papers for CAV (+2VCDs) and Listening (+2CDs) Assorted papers for other assessments

45 Special Arrangements – Students Taking Assessments Separately (2) Will not be provided a separate set of barcode labels Their scripts should be returned to their respective classes and Invigilators should then help sticking barcode labels for these students

46 Collection of Assessment Materials Anytime between 8:00 am and 5:00 pm on 25 or 26 June 2009

47 Bad Weather Arrangements Delivery of assessment materials will be postponed to 19 June 2009 Assessment will be rescheduled to 25 June 2009 Collection of assessment materials will be postponed to 29 June 2009
