MICS4 Survey Design Workshop Multiple Indicator Cluster Surveys Survey Design Workshop Survey Logistics and Arrangements
2
MICS4 Survey Design Workshop Logistics To achieve high quality survey results Organization, coordination and management Key logistical elements –Office equipment and supplies –Fieldwork equipment and supplies
3
Logistics Forms a critical part in the success or otherwise of the survey esp. data quality It consumes a large part of the survey budget apart from per diem and venue hire Need to be planned and procured in advance MICS4 Survey Design Workshop
4
Logistics Prepare a detailed list of supplies and logistics items you will need Be reasonably generous in calculating survey supplies and be prepared to react rapidly if you need Be sure to have the items available before the survey implementation starts
5
MICS4 Survey Design Workshop Office Equipment and Supplies Office and supplies –Computers –Notebooks –Printers –Software (MS Office, CSPro, SPSS) –Network (data entry) –Internet –Data projector (?) –Other office supplies (Stationery)
6
MICS4 Survey Design Workshop Office programs MS Office or compatible software Word, Excel will be used extensively Powerpoint will be used during trainings and dissemination of survey findings
7
MICS4 Survey Design Workshop CSPro Census and Survey Processing System www.cspro.org Free download (registration required) Data entry program templates will be provided by UNICEF HQ Technical support will be available –Regional Office and consultants –HQ reviews
8
MICS4 Survey Design Workshop SPSS Required for tabulations and other analysis www.spss.com Costly HQ to buy and supply limited copies to countries Same version and modules should be used to ensure compatibility HQ will provide template tabulation and other programs
9
MICS4 Survey Design Workshop Fieldwork Equipment Electronic scales Measuring boards Salt test kits GPS Other fieldwork supplies –Bags, hats, t-shirts, –First aid kits, torches Vehicles !
10
MICS4 Survey Design Workshop Listing Recruitment Training Travel arrangements Accommodation arrangements Contacting local authorities
11
Listing - Documents Listing manual (Supervisors and Listers) Maps of sampled clusters/ EAs Forms –Map information form (Form 1) –Map spotting (page 2 of Form 1) –Household Listing Forms (Form 2) ID cards Letter of introduction (from implementing agency)
12
Listing – Supplies Markers or chalks Stickers (if markers will be used) GPS Pens (blue, red etc) Pencil - Mapper Envelopes Bags, paper clips, staplers etc Clip boards Comfortable vehicles MICS4 Survey Design Workshop
13
Arrangements Before Fieldwork Planning of data collection –Teams –Workloads Organize and document sample by cluster, region, etc. and by survey team –Travel arrangements literally for each team, transportation strategy –Accommodation arrangements –Monetary arrangements –Contacting local authorities (letter from implementing agency)
14
MICS4 Survey Design Workshop Arrangements Before Fieldwork Translation of questionnaires and manual Back translation Pre-testing Printing of questionnaires Planning of training Recruitment of fieldwork personnel Identify personnel for data processing team
15
MICS4 Survey Design Workshop Materials for fieldwork: Documents Supervisor's and Editor's Manual Interviewer's Manuals Maps* and household listing forms* + Map spotting sheets* ID cards Letters of introduction Questionnaires Supervisor's Assignment Sheets Interviewer's Assignment Sheets
16
MICS4 Survey Design Workshop Materials for fieldwork: Documents Control sheets –Supervisors –Editors –Interviewers ID cards Complete list of current national immunization schedule
17
MICS4 Survey Design Workshop Materials for fieldwork: Supplies Anthropometric instruments - Weighing (SECA) scales - Measuring boards First aid kits Vitamin A Capsules Salt test kits (only for countries that will conduct salt testing) Advocacy materials (optional but it helps greatly)
18
MICS4 Survey Design Workshop Materials for fieldwork: Supplies Blue ink for interviewers Red ink for the field editor and supervisor Clipboards, briefcases (bags) Paper clips, scissors, string, staplers, tape, torches, etc. Envelopes to store completed questionnaires, Rain coats (if fielding takes place in the raining season)
19
MICS4 Survey Design Workshop Preparing for fieldwork F ield supervisors: Obtain sample HH lists and/or maps for each area in which his/her team will be working and discuss problems Become or be familiar with the area of work Determine travel arrangements and accommodations Contact local authorities to inform them about the survey
20
MICS4 Survey Design Workshop Preparing for fieldwork F ield supervisors: Obtain all monetary advances, supplies, and equipment Careful preparation by the supervisor is important for –facilitating the work of the team in the field –for maintaining interviewer morale –for ensuring contact with the central office
21
MICS4 Survey Design Workshop Organizing fieldwork F ield supervisors: Assign work to interviewers Maintain fieldwork control sheets Make sure that assignments are carried out Make spot checks of the household questionnaire (with the field editor) Regularly send completed questionnaires and progress reports to the field coordinator
22
MICS4 Survey Design Workshop Conducting fieldwork F ield supervisors: Keep headquarters informed of the team's location Communicate any problems to the field coordinator Take charge of the team vehicle Be sure to develop a positive team spirit along with careful planning of field activities
23
MICS4 Survey Design Workshop Conducting fieldwork Before forwarding completed questionnaires/clusters Include all individual questionnaires into the household questionnaires Check household questionnaires for the number of eligible women and children, and their corresponding line numbers and verify against individual questionnaires (and control form) For incomplete interviews, include blank questionnaires with only the identification information and the result code
24
MICS4 Survey Design Workshop Conducting fieldwork Forwarding questionnaires to the Central Office: Instructions from the director of field operations Packaging and protection of questionnaires Confidentiality of data in questionnaires Proper instruction developed and implemented for transportation of questionnaire to avoid their loss or information Ensure regular transport; should be frequent at beginning of fieldwork
25
MICS4 Survey Design Workshop Monetary Advances and Communications The supervisor should have sufficient funds Including funds for fuel and minor vehicle repairs, for guides, and for communication with central office. Advances for per diem allowances to be given directly to individual interviewers, field editors, measurers and supervisors. Communication system of teams with the central office: supplies, payments, return of questionnaires, etc.
26
MICS4 Survey Design Workshop Transportation and Accommodations Travel arrangements and coordination –Vehicles, taxis, buses, boats, horses, etc. –Maintenance and security of the team vehicle. –Use of vehicle –The driver of the vehicle takes instructions from the supervisor. Food and lodging arrangements
27
MICS4 Survey Design Workshop Contacting Local Authorities Supervisor's responsibility to contact the regional, district, local, and village officials before starting work in an area. Letters of introduction will be provided, but tact and sensitivity in explaining the purpose of the survey will help win the cooperation needed to carry out the interviews.
28
MICS4 Survey Design Workshop Fieldwork Working hours Off days Travel days (No work?) Fuel –Should be sufficient –Coupons vrs cash
29
MICS4 Survey Design Workshop Monitoring Monitoring visits to fieldwork teams Field check tables Feedback to teams
30
