Completing the Medicine Price Data Collection form Presentation template for adaptation and use in medicine prices and availability survey training workshop for survey personnel Review all slides carefully for applicability to your survey before use! Medicine prices and availability survey Training workshop Location, dates

The Medicine Price Data Collection Form Contains a total of X medicines Be careful of the following medicines: –retard formulations: LIST MEDICINES –medicines commonly available in different dosage forms or strengths: LIST MEDICINES –concentrations that can be expressed in different ways: LIST MEDICINES co-trimoxazole: 8+40 mg/ml = 40+200mg/5mL paracetamol syrup: 24mg/ml = 120mg/5mL

The Medicine Price Data Collection Form Contains a total of X medicines For each medicine, there are 2 rows –Originator brand – Row 1 –Lowest price generic equivalent – Row 2 Rows 1 and 2 repeat for every medicine on the form. Collect data for every medicine on the form Collect data for one medicine and product at a time (i.e. complete the form row by row) Boxes shaded in grey should be left blank

The Medicine Price Data Collection Form During data collection, the following aspects of the surveyed drugs are fixed – no flexibility or variation allowed! –substance of medicine –dosage form –strength per unit –name/manufacturer of originator brand (caution: some originator brands may be manufactured by a subsidiary company, in which case both the original manufacturer and subsidiary will be listed on the pack) –pack size recommended - each medicine has a recommended pack size (usually close to standard treatment course). To standardize results, when a medicine is available in multiple pack sizes, data is collected on the recommended pack size, or if this is not available, on the next largest pack size. These aspects are flexible and will vary from outlet to outlet. Data collectors should report what they find in the field: –name/manufacturer of lowest priced generic found in each medicine outlet –pack size found –price of pack found

Step 1: Identify the lowest price generic: identified at each facility product with lowest unit price (price per pill, dose, ml, etc.) where several generics are available it may be necessary to calculate the unit price of each to identify the lowest - divide the price of each pack by the pack size Enter the name of the lowest price generic in Column C, and the manufacturer's name in Column D Amitriptyline Cosmos

Step 2: Record Availability: Enter "yes" or "no" in Column E Ask to see a pack of the product; only record a product is available if you actually see it If the medicine product is found but the dosage form or strength differs from that on the data collection form, it is unavailable If a medicine is unavailable, do not substitute it with another product Amitriptyline Cosmos No Yes

Step 3 : Record the pack size found: Record the pack size as the total number of units, e.g. 60 capsules or tables, NOT 1 box; 200 doses, NOT 1 inhaler; 500mililitres, not 1 bottle; 2 grams, NOT 1 vial If the recommended pack size is available, record the size of this pack If the recommended pack size is not available, select the closest, larger pack size found Whenever possible, select the same pack size for the originator brand and lowest price generic product Amitriptyline Cosmos No Yes 110

Step 4: Record the price of the pack found: Record the full price of the medicine pack If part of the price is paid by insurance or other means (e.g. insurance pays 80% and patient pays 20%), record the full price (100%) Do not record the price of medicines that are unavailable, even if the price is available from a price list Amitriptyline Cosmos No Yes 1103.80

Note about public sector facilities At public health facilities, patients may obtain medicines: –For the medicine price –For free –For a fixed fee e.g. visit fee –A mixture: some medicines are free, some are paid for Medicines that are free/available for fixed fee –Must still record availability for these in Column E –Make a note in Comments column (Column J) of the data collection form for entry of data into the workbook

Step 5: Record any comments: Product is out of stock Percentage discount is offered Medicine is free or available at a fixed fee Amitriptyline Cosmos No Yes 1103.80 Out of stock

1.Collect data for every medicine on the form 2.NO substitution of other medicines, strengths or forms 3.The originator brand is still the originator if it is produced by a subsidiary company (e.g. manufactured for Pfizer by Dr Reddy) 4.The LPG cannot be the originator brand 5.The LPG is the generic product with the lowest unit price If multiple generics are available for an individual medicine and they have different pack sizes, you need to calculate the unit prices to identify the LPG 6.Only record a medicine as available if you actually see it 7.Out of stock medicines are unavailable (even if they were in stock just before arrival at the medicine outlet) 8.If multiple pack sizes are available, record the price of the recommended pack size or the closest, higher pack size Key rules to remember:

9.Record the pack size as the total number of units, e.g. 60 capsules or tables, NOT 1 box; 200 doses, NOT 1 inhaler; 500mililitres, not 1 bottle; 2 grams, NOT 1 vial; 10mililitres, NOT 1 or more ampoules 10.Prices can be recorded from the product label, a price list or computer BUT only record the price of medicines which are available 11.Record the full price of the medicine even if the patient only pays a part of the full price 12.Flat fees and non-universal discounts not entered 13.Prices for out-of-stock medicines not entered 14.Do not record special discounts available only to certain group of patients. However, record discounted prices that apply to all patients. 15.If some medicines are available for free or for a fixed fee, their availability must still be recorded, with a note in Comments column Key rules to remember (continued):
