Purpose of the Program The intent of the SFSP is to bridge the gap in nutrition during the summer months by serving nutritious meals to children 18 years and younger while school is not in session.

Site Eligibility Site = actual location where meals are served and children eat in a supervised setting. Eligible Sites = those that serve children in low-income areas Documentation required Three common types of sites: Open Site-first come, first serve; most common Restricted Open Site-space, security, safety, control Closed Enrolled Site-IE forms, area eligibility

Participant Eligibility
Children age 18 years and under A person 19 years of age and over who has a mental or physical disability AND who participates in a school program

Site Supervisor Responsibilities
Serve Meals Clean up after meals Ensure safety of food, and comply with all local health and safety standards Receive and account for delivered meals Ensure that children eat ALL meals onsite Plan and organize daily activities Implement alternate food service arrangements during inclement weather Take accurate meal counts at point of service Maintain proper food temperatures, refrigerator and freezer temps. - Hot foods – 140° or above, not to exceed 180° - Cold foods – 40° or below (chilled items should never reach freezing point) - Refrigeration – 40° Freezer - 0° Each Site must at all times have a staff member present during service that has received training (current year) on all Summer Meals operating procedures.

Field Trips Fieldtrips are okay! Complete Field Trip form
Sponsor must know about field trips Elder Care Services DACS

Site Visits Pre-Operational: New and sites with prior year deficiencies; proper facility for # of children being served Site Visits: New sites visited within first week of service Site Review: monitor present before, during, and after meal service; once within 4 weeks Corrective Action

Delivery Slips What meals are you signing for? Check quantity
Ensure meals meet pattern requirement Note any errors/differences on the delivery slip Maintain signed detailed delivery slip Ensure that the driver, puts time, date and signature on the delivery ticket

Meal Adjustments Report meal adjustments daily by 1:00 PM
All meal adjustments will be reported to ECS Food Complaint Form

Meal Service Requirements
Meal MUST be eaten on-site Exception: Fruit/Vegetable/Grain Waiver-One item may be taken off-site All children must receive one meal before any child is served a complete second meal Adhere to local health and sanitation regulations Serve meals during approved time

Point of Service Only complete meals served to eligible children can be claimed for reimbursement Meals must be counted at point of service, i.e., meals counted as they are served Ensure complete meal being served

Seconds, Leftovers, and Spoiled Meals
Objective: serve one meal per child at each service. Limited number of second meals served as a unit Sharing table Complete meals and nonperishable components can be stored for subsequent service All recycled food must be stored in accordance with local health codes and documented Leftovers to be served the following meal service

Record Keeping Requirements
Daily Meal Count and Delivery Slip (daily) Delivery Receipt (daily) Site Supervisor’s Record of Meals Served (monthly) Submit by the 2nd of the following month

Official Visitors Most are unannounced
Required to carry identification Report results of all official visits and reviews to your sponsor Local health department visitors State agency and Federal staff Officials will note any problems observed If you receive a violation notice from a monitor OR health department representative, take immediate steps to correct the violation and inform your sponsor.

Civil Rights Display the “And Justice for All” poster in clear view for all children, parents and personnel to view (preferably where meals are served or eaten) Protected Classes Race Color Sex Age National Origin Disability

Civil Rights Ensure meals are served to
all attending children regardless to their protected classes (race, color, national origin, sex, age, or disability).

Civil Rights Complaints need to include:
Contact information of the person initiating the complaint. Sponsor & site information. Nature of incident or action that led the complainant to feel discrimination was a factor including the basis (race, color, national origin, sex, age, or disability) and dates of the alleged discrimination. If witness is available, record their name, title, and business address.

Civil Rights “The U.S Department of Agriculture (USDA) prohibits discrimination against its customers, employees, and applicants for employment on the bases of race, color, national origin, age, disability, sex, gender identity, religion, reprisal, and where applicable, political beliefs, marital status, familial or parental status, sexual orientation, of if all or part of an individual’s income is derived from any public assistance program, or protected genetic information in employment or in any program or activity conducted or funded by the Department.
