Customizing EndNote for Institutional Animal Care and Use Committee (IACUC) Protocol Searches Melissa A. Ratajeski, MLIS, RLAT Health Sciences Library System, University of Pittsburgh To develop a format and method for delivering search results to researchers completing the 3 R (refinement, replacement, and reduction) section of an IACUC protocol. A customized reference output style was developed by the IACUC liaison librarian, using the desktop bibliographic management software EndNote X. The style incorporates a 3 R label and the name of the database used for retrieval. Citations are exported into Word documents through the Subject Bibliography tool. Objective Rather than creating a new style, the existing style Annotated was edited. All reference types were modified to include the fields Label and Name of Database. Modifications were saved as a new output style IACUC. Modifying an Output Style Figure 1. Edit the style you are currently working with or open the Style Manager to edit any existing style. Figure 2. Select Templates under Bibliography. Figure 3. The fields Label and Name of Database (underlined in red) were added to the journal article reference type through the Insert Field icon. The text (underlined in blue) was added by typing into the existing reference type format. Figure 1. Figure 2. Figure 3. Labels used were: Refinement, Replacement, Reduction, Similar Research, and Anesthesia and Analgesia. Custom fields ( Custom 1, Custom 2, etc) were not utilized, as they can not be inserted into references to create custom styles. Text was entered into the fields Label and Name of Database upon import of citations in batches. Changing Fields Figure 4. Make sure that only the citations you want to modify are showing, otherwise you will modify all citations in the library, which can not be un-done. Figure 5. Choose the field you would like to change and type in text. Be consistent with capitalization and names for sorting purposes. Figure 6. Both the Label and Name of Database fields have been modified and are visible on the display screen. To display these new fields modify your Preferences under the edit menu. Most researchers prefer receiving Word documents rather than an Endnote library. The Subject Bibliography tool can sort citations by the designated label and allows formatting. Exporting Citations Figure 7. Make sure that all citations are showing, not just a subset, before selecting Subject Bibliography. Figure 8. This is a preview of the bibliography. Modifications, such as font or sort order, can be made by choosing the Layout icon. Figure 11. When importing citations from several databases duplicates may occur, but can be removed through the Find Duplicates option. Researchers completing protocol modifications or updates can be sent only new citations. Researchers provided positive feedback regarding the new format. New format delivery option was more efficient, saving the IACUC liaison librarian time. Endnote is computer specific so customized styles may need saved on multiple computers. There are often long processing times when modifying the fields of numerous citations.
