Using the National Document Assembly Server Marc Lauritsen Bart Earle Alan Soudakoff Capstone Practice Systems December 12, 2008
2
Agenda Accessing the server Generating documents – Interviews: HotDocs & A2J – Answers: Save, Share, Retrieve – Documents: Assemble, Download, Email Working with groups of users Making templates available – Templates: Upload, Update, Delete, Share
3
Preliminaries Primary focus today: how people can use the national server to generate documents. Well also cover the basics of how templates for such documents are created and made available. We wont cover how to author HotDocs templates or A2J modules. Things will look and feel differently when a new interface is deployed in early 2009. (Additional training will be provided.)

Generating Documents Formats: RTF or PDF Assembly options – Get document and download – Email document Tips – Internet Explorer 6 or later required for HotDocs interviews. (Not required for A2J.) – Microsoft Word is needed for most RTF files – FireFox users may need to set up RTF file handling

Getting a Document, Saving Answers etc.

Getting Help and Giving Feedback help@npado.org – Problem reports should contain The steps involved, including the template URL, so we can reproduce the problem; What you expected to happen; and What happened instead (and when). – Screen shots appreciated Feedback to template contributor Surveys

Helping Groups of Users Setting up accounts for groups (e.g. by clinic) Maintaining separate answer files for different individuals Having people share their answers with you Tip – Stay tuned for new user and answer management features that will make this easier.

(Were moving on to making templates and making them available. If youre not involved in that, feel free to leave. But youre welcome to stay.)

Making Templates and Making them Available

Start with Word Document* (*or PDF Form)
22
Mark-up Word Document IF END IF
23
Choose Authoring Tool HotDocs Pro – powerful interview environment – good for repeating data – somewhat sterile – usually sufficient for advocate use – requires Internet Explorer A2J Author – user-friendly interface – better pro se experience – avatars, audio clips – must still create HotDocs template – works with non-IE browsers – requires Flash
24
Automation Tasks Create fill-in-the-blank variables Create conditional IF logic Creating repeating logic (e.g. for children) Create computations Script interview logic Create help screens for users Test and refine; test and refine

Contributor Tips Avoid using punctuation characters in file names and titles Use the same main template/interview file name when updating Be aware of the 16MB file upload limit (particularly relevant for A2J with lots of sound files) Make sure to select "Template files for use with HotDocs Server" when uploading Avoid having multiple browser windows open when uploading, updating, managing templates (to avoid cookie problems) Don't publish to the same local folder that the templates are in Interview performance is dependent on complexity of interview and local computer speed; not on internet connection speed
