Your Home Page The Colles Portal ‘s Home Page consists of 4 main components. From your home page you can browse through all activities, tasks specifically for you. The 4 components are as follows: My Calendar- All events you have agreed to attend or have not yet responded to will populate into My Calendar. RCSI Surgical Events Calendar- All Surgical Training Events and some RCSI Events will populate into this calendar My Tasks- All tasks assigned to you by the surgical training office such as completing online assessment forms will be send to you via an email notification and will also populate your task list Announcements- All General Surgical Training Announcements will be posted here www.collesportal.com

My Site/My Profile Your My Site/My Profile Page allows you to Maintain your contact, professional details Set your own security setting around what information can and can’t be viewed Add and connect colleagues to your profile page Upload your CV into your public document library Collaborate, share documents with colleagues

Programme Management The Programme Management function of the system allows you to view/manage the following: View your programme details, training posts (including previous rotations) and details of CAPA sessions you have attended Request a deferral/ overseas experience/ fellowship or research year online Log your non-mandatory activities such as course participation, examinations taken, attendance at conferences etc.

Post Management For most programmes allocation and post management will be handled through the Colles Portal as follows. Receive a notification/task from the Colles Portal to log on and accept your assigned allocation Log on accept your post and upload a copy of your most recent CV Your forthcoming trainer will be notified of your allocation The HSE Medical Manpower Manager will be notified of your allocation and will download a copy of your CV The Medical Council will log on and confirm your allocation for Registration purposes

Post Management Matching System For some programmes allocation and post management will be handled through the Colles Portal’s matching facility which will work as follows: You will receive a notification that your programme posts are available for ranking Log on submit your ranking All trainers log on and rank their preferred trainees The System compiles the matching results Programme Director approves or restructures rotations Receive a notification/task from the Colles Portal to log on and accept your assigned allocation Log on accept your post and upload a copy of your most recent CV Your forthcoming trainer will be notified of your allocation The HSE Medical Manpower Manager will be notified of your allocation and will download a copy of your CV The Medical Council will log on and confirm your allocation for Registration purposes

Post Management Training programmes can avail of matching i.e. trainee ranks preferred rotation and trainer ranks their preferred trainee

CAPA/ Trainee Assessments Participation of CAPA sessions is mandatory for all trainees. The process for handling CAPA online will work as follows: Accept your invitation to CAPA session via email notification View your designated time and location for your CAPA session Follow instructions on your email notification to complete your online assessment forms Upload E-Logbook and any other documents you wish Attend your CAPA session Receive your CAPA results, recommendations through the portal following the session

CAPA/Trainee Assessments You will notified of your upcoming CAPA session by email and will follow instructions to complete your online documentation
