2 Administrative Issues Establish project goals & secure staff buy- in; Assign responsibilities for efficiency that are consistent with existing workflows; Set-up BANNER security (update and/or query) to provide required access; Develop timeline for implementation that includes check points for review & project status reports.

Extends time for receipt of admit letter; May not have same info from all colleges; Physically locating files when number of locations/people has increased; Prioritizing & scheduling other responsibilities.

5 Transfer Articulation Set-up SOABGTA – Transfer institution profile: calendar type, accreditation, level & grading scale; SHATATC – Transfer course catalog: term, level, subject, course #, title, min/max credits & minimum grade; SHATATR - Set & maintain your institutional course equivalencies, course attributes, effective term.

6 Transfer Credit Evaluation Process When file is complete it is reviewed to make admit decision; If admissible, transcript(s) reviewed to identify transferable credits; factors include: accreditation, course level, grade earned, existing articulation agreements, etc. Forward file to transfer credit data entry step.

7 Data Entry Process SHATRNS - Set-up Transfer Institution & Attendance Period SHATAEQ – record transfer course subject, number & grade; perform articulation (select course option or override); roll to academic history SHRTAEQ – print credit evaluation report, or use customized report (BRIO)

8 Data Entry Continued Remove credits from academic history; Files with missing courses or institutions sent to Registrar for evaluation; returned to Admissions after updates; Forward file to letter of admission stage of process; Files sent to Registrar after deposit is paid; Transfer credits rolled to academic history & a degree audit & registration materials mailed to student.

9 Articulation Maintenance SOABGTA – add new institutions or make changes to existing transfer institution profiles, e.g., calendar type SHATGRD – update if transfer institution changed grading system SHATATC – add new transfer courses; change course details on existing courses SHATATR – change effective term when your course number/title/credits change; equivalency decision change

10 Articulation Reporting SHRTECA – transfer catalog & equivalency list SHRTAEQ – individual student transferred credits & equivalency list Customized reports (BRIO) – equivalency lists posted on webpage; student copy of transferred credits & equivalents; list of institutions in articulation w/codes.
