11 Responsibilities of STCs The STC serves as the point of contact between the school and the DDOT. The STC has schoolwide responsibility for maintaining the security of test materials, implementing SOL test procedures, and providing appropriate training for Examiners, Proctors, and other school personnel involved in the test administration. STCs are to take particular care in reading all test administration materials, and are to inform all school staff of testing policies, guidelines, and procedures. Any questions the STC has regarding the SOL test administration are to be directed to the DDOT.

14 Responsibilities of STCs BEFORE Testing: Identify students to be tested: 1)Students who complete classes in the fall semester requiring an SOL test 2)Students who have failed an EOC SOL test but passed the course and need it for verified credit (Participation is optional.) 3)Students needing to meet literacy and numeracy requirements of Modified Diploma 4)Students retaking a Grade 8 Reading of EOC Reading or Math test after participating in a remediation program 5)Students who have left school and are returning to take the test for verified credit

15 Testing Upload Group Name: Consider how you want score reports to be organized. Group Code: Will NOT appear on printed reports. Test Code: Refer to next slides. Ethnicity: Hispanic? Race: 32 categories (vs. 5) ELL Information: Test tier, composite score, literacy score, SOA-LEP, AYP-D SOA Transfer: Enrolled after 20 th day – Sept 15th (or 20 th hour– Sept 10th) AYP: If a student began school ANY day AFTER the first day AND was NOT in our division last year, can be coded as AYP. May disregard reference to “September 30”. –A: within division –B: outside division/ within Virginia –C: outside Virginia Term grad: Generates two pre-ID labels and qualifies for 2 nd attempt Project Graduation: High school only – Refer to definition in TIMS RP-Code: Genesis Retest: High school only – if retaking test Recovery: Reading or Math only; Check if student has received 10+hours of remediation D-Code: High school only – if pursuing modified standard diploma (needs literacy/ numeracy requirements)

16 Responsibilities of STCs BEFORE Testing: EOC History tests based on the 2008 SOL became available in Fall 2010. Students who complete and pass a Fall 2010 (or later) history class that has an associated History SOL test will take the NEW tests. Students who passed a history class prior to Fall 2010 that has an associated EOC History SOL test will take the EOC tests based on the 2001 standards.

17 Responsibilities of STCs BEFORE Testing: EOC Math tests based on the 2009 SOL became available in Fall 2011. Students who complete and pass a Fall 2011 math class that has an associated Math SOL test will take the NEW tests. Students who passed a math class prior to Fall 2011 that has an associated EOC Math SOL test will take the EOC tests based on the 2001 standards.

18 Responsibilities of STCs BEFORE Testing: EOC Reading and Science tests based on the 2010 SOL become available in Fall 2012. Students who complete and pass a Fall 2012 Reading or Science class that has an associated Reading or Science SOL test will take the NEW tests. Students who passed a Reading or Science class prior to Fall 2012 that has an associated EOC Reading or Science SOL test will take the EOC tests based on the 2002 standards.

19 Responsibilities of STCs BEFORE Testing: Receive non-secure materials about 4 weeks prior to testing. Verify accommodations for students with an IEP, 504, or LEP plan. Make arrangements for appropriate physical conditions for testing. Determine an appropriate online test schedule, considering the: – Number of students participating in online testing – Number of online test sessions offered each day – Number of available labs/ computers – Number of personnel to serve as examiners/proctors

20 Responsibilities of STCs BEFORE Testing: Provide opportunities for students to view and/or practice online testing applications. Create test sessions – Examine the type of form that is being assigned; The The first number on an online audio form is a 9 (ex. H9039). – Expedited Retake test sessions may be created in advance; however, they should not be started until the day of testing. It is recommended that the day and time be as accurate as possible. Proctor Authorization Tickets and Student Authorization Tickets – These tickets should be printed no more than 4 days prior to the test window start date and must be stored in a secure location until needed.

21 Training Responsibilities of School Administrators: Maintain an appropriate school climate: – Appropriate student and school behavior – Avoid distracting instances such as planned fire drills – Review division guidelines on cell phones, texting, and other electronics

22 Training Responsibilities of Examiners/ Proctors: Attend training. Refer to Training Topics for Examiners/ Proctors (page 5). Follow security requirements. There should be NO access to cell phones or electronic devices. Read directions from the Examiner’s Manual verbatim (unless otherwise directed*) and provide appropriate manipulatives. Be familiar with accommodations and read-aloud procedures, if applicable Monitor, monitor, monitor!

23 Training Responsibilities of Teachers: Prepare students for online testing with Test Nav 7 demonstrations, Practice Items, ePAT, and/or the Training Center Practice Tests If a student will be assessing with online audio, he/she should have had practice using the audio control box by practicing on an audio training test.

28 THE DAY OF Testing

29 Responsibilities of STCs THE DAY OF Testing: Start the test session the day of the scheduled session. Use the Examiner’s/ Proctor’s Test Booklet/ Test Ticket Transmittal Form/ Affidavit to distribute and collect test tickets and materials to examiners. Provide Examiners extra copies of the formula sheets and the Periodic Table of the Elements, where applicable. Ensure that all examiners/ proctors have allowable test manipulatives. (Refer to pages 17-20.)

30 Responsibilities of STCs THE DAY OF Testing: Monitor the sessions. Answer questions and resolve problems as they arise. Early Warning System: – Notify the teacher or test proctor as directed on the screen. – The teacher clicks Test Proctor-Click Here to view a screen that explains the problem and lists the recommended action.

31 Responsibilities of STCs THE DAY OF Testing: ProblemSuggestion Student requires an audio test but there is no audio. - Make sure the test is on the first question (not the sample). -If the examiner notices the audio control box does not appear, they should contact their STC, and NOT permit the student to continue testing. Verify the form assigned to the student using the Test Session Details screen. If the form is NOT audio, Save and Exit the student from the test but keep the student seated at the work station and contact the DDOT. -If the audio box appears but no audio can be heard, Save and Exit the student from the test and check the computer’s setting to make sure it is not set the MUTE and that the headphones are functioning properly.

32 Responsibilities of STCs THE DAY OF Testing: ProblemSuggestion Student should not have an audio test, but the audio is playing, or the audio box appears at the first test question. - Examiners should contact their STC immediately and do NOT permit students to continue testing. - Save and Exit the student from the test but keep the student seated at their work station and immediately contact the DDOT. Shading is not visible on the test question. - Examiners should adjust the contrast setting on the student’s monitor until the shading is visible. If this adjustment does not resolve the problem, contact the STC/ DDOT.

33 Responsibilities of STCs THE DAY OF Testing: Report any test irregularities within 24 hours. A test irregularity is any occurance that meets one or more of the following criteria: – Inappropriately influences student performance – Inappropriately influences the reporting of student performance – Constitutes a breach in test security, or – Results in the improper implementation of mandatory student testing

34 Responsibilities of STCs MOST Common Irregularities: #1 - Student unable to complete test #2 - Accommodation not provided or inappropriate accommodation provided #3 - Test inappropriately marked complete #4 - Inappropriate manipulative

35 Responsibilities of STCs THE DAY OF Testing: If a student reports a test question and/or answer choice contains an error, the Examiner or Proctor should record: – The name of the subject area test – Level – Form number – Format (online or paper) – Question number – A brief statement describing the student’s concern Under no circumstances are Examiners/ Proctors to write down the test question or answer or discuss them with the student or with other staff members.

36 Responsibilities of STCs THE DAY OF Testing: View the status of each test session through Session Details screen (Ready, Active, Exited, Resumed, Resumed-Upload, Submitted, Processing, Completed, Marked Complete). Add, move, and remove students from test sessions, as needed. Students who are absent on the day of testing must be removed/moved from the session before it can be stopped. Stop all online test sessions at the end of the day. All students must show a Completed status on the Session Details screen. Any students with a Not Started, Exited, or Resume status must be removed/ moved to a make-up or irregularity session before stopping the test session.

37 Responsibilities of STCs THE DAY OF Testing: Moving a student: If students are moved to an alternate testing site to complete their tests, their Student Authorization tickets must be collected by the Examiner or Proctor prior to the move and redistributed only after the students are settled in the new location. While in transit, students must not be allowed to discuss the test with anyone or have access to educational materials. Their online test must be Exited prior to being moved to the new location. Before the student can log in (using the same information on the test ticket) to complete their test, the student’s test must be Resumed in Test Session Management.

38 AFTER Testing

39 Responsibilities of STCs AFTER Testing: Mark test complete guidelines: Every student identified for Fall testing must be accounted for via an online test or a paper document, including students who were not tested because they: – Were exempt due to LEP – Were absent during the entire testing window – Refused or were disruptive – Cheated – Were involved in a medical emergency – Failed the course but passed the test and are retaking the course – Took a substitute test for verified credit Move these students to a new session and contact the DDOT to mark these tests complete.

40 Responsibilities of STCs AFTER Testing: Testing Accommodations: Add Test-Specific data in PearsonAccess to indicate what accommodations were provided to the student under the Test Details screen of PearsonAccess. (Temporary Accommodations may be handled through the upload or under Student Registration.)

42 Read Aloud/ Online Audio IEP/504 Plan should document human reader or online audio and reading of total test or sections requested by the student. For online audio, student should have experience using recordings and/or text readers for classroom instruction and assessments. If the student is not eligible for read aloud or online audio and is provided with the accommodation for reading, the student’s test attempt may need to be reported to VDOE as invalid.

43 Prompting Use the Special Assessment Accommodation Request for Students with Disabilities for approval for individual students. Wording of prompts should be determined before the test. Audio/video record the one-to-one test session. Types of prompts allowed: “Take your time.” “Relax and do your best.” “Remember you may read the passage/question aloud.” Tap on the student’s desk Prompts not allowed: Tap on the student’s test document “Choose an answer.” Verbal or non-verbal count

45 Responsibilities of STCs AFTER Testing: Be sure that the RETEST flag is selected on the Test Assignment screen for every student who is retaking the test for verified credit. Gather all materials at the conclusion of testing, using the return checklist. Be sure to mark any changes to student data in RED on the upload spreadsheet.
