3 Using MMU Telephones For more information about these handsets click here To return to the start click here Line Buttons Transfer Applications Directories Messages Volume Control Mute Button Headset Speaker Conference Hold Keypad Softkeys Applications The applications button allows you to access a number of settings features on your handset: Call history Preferences (Ringtone/Contrast) Phone Information Admin Settings Extension Mobility (Log out) Messages The messages button allows you to access your voicemail from your phone handset. For more information about setting up your voicemail, visit our knowledge base. knowledge base Directories The MMU phone book can be accessed from your handset. This means that you do not need to be logged into a computer to search for a phone number. To access the directory: Press the directories button Use the navigation bar to highlight Corporate Directory Press the round select button on the navigation bar to bring up the search screen Use the number buttons to type in letters for a person's first name Use the navigation bar to move the cursor down to the surname field Enter a surname Press the submit softkey Volume The volume button changes its function depending on whether you are in an active call or not. You will see an indicator of the volume level on the screen when you press this button. In a call When you have the phone off the hook, the volume button will control the volume of what you can hear - whether you are using the receiver, speakerphone, or a headset. On the hook While the phone is on the hook, the volume button will control the ringer volume of the phone. It will demonstrate the ringer volume out loud so that you can hear how loudly your phone will ring. Mute The mute button cuts off the microphone on your phone. This means that you can still hear the caller but they cannot hear you. As the caller will then have no indication that the call is still live, the mute button should only be used for short pauses in conversation. To mute a call: Press the mute button The mute button will light up red to indicate the call is muted To turn the mute function off, press the mute button again Line Buttons When logged in, the line button will display your name. It will light up when you have an active call. The hunt group button will show a red light when you are logged into your hunt group. This will allow you to pick up calls for your team. The extension mobility button allows you to log into and out of your phone. Softkeys The function of these buttons will change depending on what the phone is doing. By default they allow you to: Pick up your call Pick up a hunt group call Forward a call to someone else. Pressing the more softkey will give you the option to enter 'do not disturb' mode. This is like putting a mobile phone onto 'silent'. Your phone will beep once to indicate a call is coming in, but will not continue to ring as it otherwise would. Conference You can use the conference button to bring other people into a phone call. To bring other people into the call: Press the conference button Dial the number of the next participant Announce the call - explain that it is a conference and who is attending Press the conference button (or the conf softkey) to bring them into the group Anybody - including the dialler - can leave a conference call at any time by hanging up the phone. If they wish to re-join, they will then have to be added back in by a member of the group. The conference call will end when the last person leaves the call. Hold For pauses in your conversation, you can place a call on hold. When a caller is on hold they will hear music which tells them that the call is still live. Your line button will flash to indicate to you that you still have a caller on hold, and you will see a pause symbol by the caller's name/number on the screen. To place a call on hold, press the hold button. Whilst a call is on hold, you can hang up the receiver or switch off the speaker and the call will still remain on hold until you resume it. To resume a call, press the resume softkey or the flashing green line button Transfer You can transfer any incoming call to any internal phone number. Callers are placed on hold while you transfer their call. To make a transfer: Press the transfer button Dial the number to which you are transferring Announce the call - let the person you are transferring to know who is on the line Press the transfer button again to complete the transfer You can also use the transfer softkey on the screen to complete the transfer. If you do not press transfer a second time, your call will not be transferred and the caller will remain on hold. Keypad Use the keypad to dial or to enter numbers or letters. To enter text whilst searching the directory, press the keypad button labelled with the letter you are looking for until the right letter appears on the screen. Using a headset If you have a headset for your phone, you will need to plug it into the back of the handset, next to where the receiver is plugged in. To use a headset you must have the headset light on. To turn the headset light on, press the headset button. To make a call using a headset, first dial the number or find a number in the directory. When you have the phone number on the screen, you begin the call using any of the following methods: Press the headset button Press the call softkey Press the line button (top left corner of the phone) To answer a call using a headset, use any of the following methods: Press the flashing line button Press the answer softkey Press the headset button Using the speaker If you wish to dial somebody on speaker and hear the conversation out loud instead of through the handset, press the speaker button. To make a call using the speaker, dial the number that you wish to call and then press the speaker button. When you have finished your call on speaker, either press the speaker button again or press the green line button.

Features available on softkeys include: Answering calls to you or your hunt group Accessing your voicemail messages Transferring calls Making conference calls Dialling on speaker To learn more about softkey features, click a button. Corporate directory Messages The msgs softkey shows on your phone when you are not in a call. It allows you to access your voicemail from your phone handset. To make a transfer: Press the transfer button Dial the number to which you are transferring Announce the call - let the person you are transferring to know who is on the line Press the transfer button again to complete the transfer If you do not press transfer a second time, your call will not be transferred and the caller will remain on hold. Back Conference Calls You can use your phone to make a conference call connecting several callers so everyone can be heard by the other participants. One person should act as the co-ordinator for the call and bring all other callers in. That person should place the first call like a normal phone call. To bring other people into the call: Press the more softkey Press the confrn softkey Dial the number of the next participant Announce the call – explain that it is a conference and who is attending Press the confrn softkey to bring them into the group The conference call will end when the last participant hangs up Back Voicemail Transferring calls Conference calling Speaker Using the speakerphone To make a call that can be heard aloud rather than through the receiver, you will need to use the monitor feature. Starting a call on monitor To make a new call on monitor, first dial the number you wish to call and then press the dial softkey. Switching to using monitor To switch to using the speaker during a call, press the monitor softkey. Ending a call on monitor To end a call whilst using the speaker, press the end call softkey. Back Using the speakerphone To make a call that can be heard aloud rather than through the receiver, you will need to use the monitor feature. Starting a call on monitor To make a new call on monitor, first dial the number you wish to call and then press the dial softkey.
