What is Hospital Report Manager (HRM)?
HRM enables primary care providers and specialists to receive hospital / Independent Health Facility (IHF) reports electronically within their EMR system Pilot and Provincial Rollout Speaking Notes - Over 170 physicians participating in the HRM pilot receive 23,000 hospital reports per month electronically, directly into their EMRs. eHealth Ontario and OntarioMD are committed to connecting 1,560 physicians to HRM by March 2014; hospitals and clinicians will be connected to HRM using a phased approach. HRM will be deployed to the following in scope LHINs: LHIN 5 – Central West, LHIN 6 – Mississauga Halton, LHIN 7 – Toronto Central, LHIN 8 – Central, LHIN 12 – North Simcoe Muskoka. The out-of-scope LHINs continue to work on their regional initiatives and will transition to the HRM in the future. OntarioMD has added the ability to send reports to Nurse Practitioners. Physicians with EMRs must be using a Specification 4.1 (or higher) Funding Eligible EMR.

Benefits of HRM to Clinician Practices
Speed Efficiency Accelerated treatment of patients More time to focus on patients Reduced errors Greater safety Speed of receiving reports (reports arrive from a minute to an hour of being transcribed, don’t need to wait for a colleague to bring in the mail from the hospital or administrative staff to scan in the report to the EMR) Increased the efficiency of the practice (Efficiency – staff) Opportunity to redeploy people to do other work with significant time savings from nursing to admin. Accelerates treatment of patients due to the timeliness of the reports Leaves more time to focus on the patients less time trying to track down paper or having to login to the hospital to see if the reports are there. Time is spent in reading the report rather than the process of getting it into the EMR leaving all levels of my group, physicians, nursing and admin more time to focus on patients. Reduced errors from scanning, character recognition, and manual entry (Safety) In the correct chart, no words to decipher, timeliness of receiving reports all results in greater safety in patient care

The patient was surprised that I had already received the report and had arranged follow up.” “HRM allows me to check my results when I am not in the office or after hours. Particularly if I am awaiting a result I can check my lab inbox to see if it is in” “I don’t have to wait to have the hospital mail brought to the office, I receive reports much quicker and can respond right away” “We love it, I would not want to work without it….when can we add more hospitals?” “It has saved me so much time, I no longer have to login to the hospital to see if the report is there because I now that it shows up in the EMR shortly after being transcribed” “HRM has no human error, reports do not have to go through the OCR process and there is no chance of human error, i.e. put in incorrect chart” Nurses “Since we have had HRM I don’t have to call the hospital for copies of reports as they are probably in the chart before I could get a chance to make the call” Admin “Without HRM I don’t know how we would have been able to set up our new doc so quickly” (new practices come with a lot of old charts that have to be scanned and OCR’d in.) Manager Made all other aspects of administration more efficient. Extremely easy to implement via OntarioMD and EMR vendor. Based on a push not pull system, reports arrive without intervention from staff Requires steps to be taken out of work flow instead of added into work flow. Minimal training required, flow for physician is similar to reviewing labs and there are less steps for admin Patients Patients are shocked when they receive a call about a test that was done only a few hours prior. They cannot believe how quickly we can follow up. (follow up) Physicians can follow up on reports not only immediately, but remotely as well with secure VPN access to their EMR.
