SENDING AND EMAIL WITH AN ATTACHMENT I have sent an email with an attachment in order to show them the logo that was spoken about in the email.

EMAIL WITH COMPRESSED FILE I sent an email with a compressed file in order to be able to send multiple files within one zip file to save the effort of making multiple attachments.

EMAIL GROUPS Here I have created an email in order to enable me to send one email to multiple people at once rather than having to send emails to everyone one at a time.

SENDING AN EMAIL TO MY GROUP Here is an example of me sending an email to my group. As you can see, the amount of information on it could make it quite annoying to send individual emails to however many people you would have in your group.

EMAIL ETIQUETTE AND SAFETY When setting up an email account you should choose an appropriate username such as ‘Jkinton’. As well as this you should set up an appropriate signature giving information about yourself such as contact details or something general which can sign off your email. Make sure you check through your emails before you send them to ensure that all of your grammar is correct and that you have only spoken about relevant things. To ensure safety within your email, ensure that you choose safe passwords. It is recommended that you use upper and lower case letters and one or more numbers.

AUTO RESPONSE Here I have set up an auto response so that anyone who sends me an email will receive a response notifying them of when I will be able to get back to them.

ARCHIVING MESSAGES As seen in the screenshot above, you need to tick the select box which then brings up in boxes also shown in the screenshot above the selected email. To actually archive the email, you need to click the small icon with the downwards arrow in it. Once you click that box it is instantly taken away to your archive.

EMAIL FOLDERS To create a folder, select the specific emails that you want to be sorted and click the folder towards the top of the page, as shown in the screenshot. Give it a name by typing in the ‘Move to’ box and it should appear on the left of the screen where your inbox and everything else is. Once created there is a drop down menu which allows you to customize the label and give it a colour so that if you had more than one you can colour code them to be seen more easily.

EMAIL DEFINITIONS Reply- Replying to an email received Forward- sending a received email onwards. CC – carbon copy BCC – blind carbon copy Attachment – attaching files to a new email Subject – What you are writing about.

EMAIL PROBLEMS If an email fails to send the first possible issue could be something to do with your internet connection. If this is the case then the first thing to check would be that your Ethernet cable is actually plugged in to the back of the machine. In this occasion you can sort the issue out yourself. Another cause could be that your internet provider (ISP) is having issues so that you cannot actually connect to the internet at all.

CC I’ve sent a message to William Bray which has also sent a copy to his line manager, Joe Jenkins so that they are both aware of the issue.

BCC I have sent an email to Jacob regarding the issue of him meeting a deadline. I also sent a Blind Carbon Copy to his boss so that he is aware of the problem at hand.
