PROMOTION OF ARCHIVES The Beginning Music Archives created in 1998 Funding from the Norfolk Foundation Diehn Events Team created to help launch archives in 1998 First event: Vernon Purdue Davis concert using professional musicians on Feb. 7, 1999 Virginia O’Herron, Team Leader Elizabeth Hogue, Team Leader in 2002

TYPES OF EVENTS AND EXHIBITS EVENTS/EXHIBITS Hampton Univ Composers Event (1999) - collaboration Adolphus Hailstork (2000) Southeastern Composers Symposium/Competition /Concert (2000) Allan Blank (2001) – collaboration with VCU Society of Composers Region III Conference Event (2001) Philip Glass (2003) – VA Arts Chen Yi (2004) – VA Arts John Duffy (2005-present) – beg. of Institute Tea Time Concerts (2004-present)

DCR Events Team Charge – FY 2014 What is it that we do? Plan and implement events Student Performance Concert in collaboration with Music Department faculty Virginia Arts Festival Annual Duffy Composers Institute reception in collaboration with Virginia Arts Festival Movie Nights (launched Oct. 2009 with Alfred Hitchcock’s Psycho for exhibit Scoring for Suspense: Music for the Movies) Design and create exhibits focusing on Diehn Composers Room Collections Special Projects Local Performance Recordings New Music Performance Collection Maintain Diehn event mailing and invitation lists Develop publicity for DCR events and collections Newsletter (launched in 2007)

ELEMENTS TO PLANNING A DCR EVENT Date is set Timeline developed with title/theme Budget Management Publicity – write the PR announcement, create flyer Catering Review mailing/invitation lists Mail invitations/ collect RSVP’s Contact piano tuner, photographer, moving and hauling, housekeeping, parking, public safety Contact collaborators and keep in contact Verify all of the above has gone out and proof along the way Prepare welcome remarks Ease any anxiety, resolve any issues Day of event: reserved signs, set guest book, room setup, wastebaskets, resolve catering issues, set ambient music, do a headcount of guests, check leftovers of catering items Day after event: copies of program kept for archives and PR Assistant, confirm budget
