4 POLICIES FOR UNIFORMITY AND STRUCTURING AND EFFECTIVE COMMUNICATION Hardware Policy – Institute provides for Hardware for all Regular Staff and minimum one Computer per office till ‘C’ Grade Chapters till 31 st March 2012. New policy as approved by the Council will be applicable from 1 st April 2012. Communication Policy – For bulk mail, SMS Institute provides for services through third party at the rate of 1.8 paisa + taxes and 5 paisa + taxes respectively. Appraisal Policy – The Appraisal Policy has been changed as per the decisions taken during the implementation of the 6 th Pay Commission. The Oracle Apps Platform is used for the same. Policy for updated information on Child Portal / ERP – All Officials / Offices are to ensure daily updation of their activities on Child Portal and maintaining updated information on Financial Platforms like Receipt Accounting and Oracle Apps.

5 TIMELY SERVICES BY MONITORING OF REQUEST Real Time Services through www.icsi.in for Students and Memberswww.icsi.in Paperless Office – By digitizing of documents Incoming physical Documents are digitized and moved for action as tasks / Workflow Repository of Information in Digitized Form – File Management System and Knowledge Management System Benefits Instant access at all locations, effective monitoring and saving precious physical space.

6 STABILITY OF OPERATIONS & NEW TECHNOLOGY 1995 – 2002 – The era of Visual Foxpro (Internal operations Computerized) 2003 onwards – The era of Ms.Net to cater to Real Time Services. Long Term Planning is necessary as the internal software in the Institute has to be reoriented and thereafter, one can develop module to take leverage of these internal systems. 2008 onwards – Institute plan for Enterprise Resource Planning Software and selects Oracle Apps as the standard platform which is used by 400 out of the fortune 500 organizations across the Globe. Challenges With each changeover, the Institute requires reorientation of the hardware infrastructure, staff (Technical know-how), propagation amongst the stakeholders, business process re- egnineering and stability of operations. The Institute has met with these challenges due to pro-active Council and a determined management.

7 QUALITY OF SERVICE / AUDITING As the Institute opens its doors of the Digital Platform, the quality of service and auditing determines the stability of operation. The first Audit for Security of Data was conducted in the year 2004-05 by M/s Microland. The second Audit was conducted in the year 2009-10 by M/s Tech Mahindra. The next auditing exercise has started in 2012 and the following benefits are expected to be derived. 1.Stability and Optimization of Operations 2.Quality of Applications 3.Preparedness of the Institute for Business Continuity Plan 4.Quality of Services to the Regulators and Global Alliances 5.Security of Data

8 CENTRALISED SERVICES / WAN The world has changed from Stand alone systems to Centralised Operations in the last Decade and the Institute has also reoriented itself by developing a State of the Art Server Room through which Services are provided to more than 3 (Three) lacs stakeholders. It is necessary that all offices of the Institute are able to provide the same services as provided by the Head Office. To attain the same, hotline connectivity for making available the interfaces as provisioned for the staff at head office to the staff working in Chapter is necessary. To enable the above, the WAN covering seven offices of the Institute shall be extended to 13 offices by Tata Communications in the immediate future. The platform (WAN) which the Institute is laying down shall be used for multiple purposes like Video Conferencing etc.

9 EMPOWERING DECENTRALIZED OFFICES / ANYTIME ANYWHERE By Maintaining Security Levels, Real Time Access has been provided not only to the stakeholders i.e. Members and Students but also to designated staff at various levels. Advantages 1.Emails from anytime anywhere on icsi.edu. 2.Updation of Child Portal from anytime anywhere 3.ERP Operations from anytime anywhere 4.Access to Students Data on WAN 5.Privileges to check and update information on behalf of the Students and Members 6.Services on Knowledge Portal and e-learning.

10 WAY AHEAD Effective use of Technology can remove most of the barriers. The Institute has planned and have achieved a stable platform to launch new initiatives in the area of : 1.Registration of Students – e-Counselor 2.Online Training ModuleOnline Training Module 3. Reaching out to Students through Website in vernacular languages 4.Imbibing the culture of social networking (facebook and twitter) 5.Online Admit Card and Marksheet 6. Online Coaching Completion and Objective Examination System

12 Providing Computers, Printers, UPS, Laptop and LCD Projector to RC & Chapters Existing GuidelinesRevised Guidelines i.A, B and C Grade Chapters are provided with Computers, Printers and UPS, provided they have their own offices and/or operating from rented premises. ii.The LCD Projector are provided to all A Grade Chapters provided they have their own offices and/or operating from rented premises with full time staff working therein. (i) All Regional Councils/Chapters would be provided with Computers, Printers and UPS provided they have their own offices and/or operating from rented premises. (ii) Laptop, LCD Projector would be provided to all Regional Councils, A+, A, B, and C Grade Chapters provided they have their own offices and/or operating from a rented premises. Request/requirement of D Grade Chapters shall be considered on need basis provided they have their own offices and/or operating from rented premises. However, in case the Chapter wants to have the second LCD Projector, the same shall be purchased from the Chapter’s funds. (iii) The Regional Councils and A+ and A Chapters may go for in ‐ house Web ‐ casting of seminars. This aspect may be considered by the IT Committee of the Institute.
