3 3 First of Type Process – What it means? What is a First of Type Site? First site to receive new software What does it mean to be a First of Type Site? Responsible for approving the software prior to rollout Need to provide regular feedback to CFH and Supplier What impact does being a First of Type site have? Potential Down Time CFH staff onsite What are the benefits of being a First of Type site?

4 4 Preparation for Go Live Change approval (RFC) – National CAB, Request for Change –Standard pro-forma –Checked by Deployment, before supplier submits to CFH Change Management Team for approval –Provides visibility of new connections/ releases to the Spine –5 working day turnaround, Board meets twice a week Live connectivity sign off (PDB) Live End Point Registration - (requires DevMac, PDB & NCAB Approval) Live Site readiness checklist Live Smart Cards & roles in place

5 5 Commissioning Load test patients (Usually done in advance) Test current functionality within the system SCR Involves timing the application Ensuring the end to end patient administration works Run through use cases to ensure patients demographic details work correctly.

6 6 Deployment Verification Report 7 Deployment Verification Criteria captured in the report: 1.Deployment Issues & Incident Responsibility – Supplier 2. Business Verification Process Responsibility – Site and/or PCT (eg. Smartcard roles) and Supplier (eg. Training) 3.Service Performance Responsibility – CFH and Site and/or PCT 4.Data Quality Responsibility – Site and SCR Programme 5.Functionality / Reporting Accuracy Responsibility – Site and/or PCT 6.Technical Impact of Deployment Responsibility – Supplier 7. User Feedback and Lessons Learned Responsibility – All key stakeholders The Report is completed during and toward end of Deployment Verification Period It is signed off by the stakeholders prior to Full Rollout Approval of the First of Type Solution

8 8 PCT/Trust Responsibilities Establish internal communications Provide details of any local PCT/Trust helpdesk calls to the supplier Contribute to the deployment verification report Escalate any queries from the FOT site to CFH Go-Live Manager and Deployment Inform CFH of any scheduled meetings that require an update on the SCR. Ensure systems stability on site prior and during FOT To be primary point of liaison between CFH and Site Should be keeping the site up to speed with CFH and Supplier activities Prior to Go Live ensure CFH are notified of all issues on FOT site

9 9 Supplier Responsibilities Complete any agreed activities prior to go-live Provide support for the commissioning. Provide feedback on any issues raised once site is live Own the Deployment Verification Report Contribute to Lessons Learned Fast Track support calls for this site

10 10 Site Responsibilities Raise any issues relating to the SCR to the Ascribe helpdesk – note reference number Escalate issues to CFH Go-Live Manager Contribute to Deployment Verification Report Ensure all staff use Smartcards Provide a nominated point of contact and deputy During the FOT commissioning the site will need to make someone (e.g. Site Manager) available through out the day. Note commissioning has been know to run into the evening, a key contact will need to be available whilst any issues are being resolved.

11 11 CFH Responsibilities Support the site/PCT during the First of Type process Track and ensure completion of all agreed actions Provide onsite support if required Monitor and escalate any issues throughout First of Type, e.g. daily calls with the supplier if required Support the completion of the Deployment Verification Report
