4 Getting Started  Item list of all videos in the library  Use Create Lists  “Loc has w and material type = g”  Result: 9,748 items  Includes videocassettes, DVDs, laser discs, oversized videos, videos on reserve, videos in Special Collections

5 Narrowing the List  Identify videos to be reclassified  Videocassettes only  In certain item locations: wav, wao, wvi  Feature films

6 Another List  Create a new item list  “d has feature films and loc = wav or d has feature films and loc = wvi or d has feature films and loc = wao”  Run against first list

7 Feature Films  Result: 2,837 item records  Sort by location  Allows for planning of necessary shelf space

8 More Decisions  Original plan  Reclassify all feature films  Use Rapid Update  Issues  Length of project  Patrons eager for recreational video collection  Potential for confusion

9 More Benefits of Create Lists  Options & Flexibility  What do we want to do next?  Offers choices  Can narrow into smaller groups  Create new lists by different factors

10 Reclassification by Groups  Some feature film videos do not require reclassification  Silent films: PN1995.75.x  Genre films: PN1995.9.x  Foreign films: PN1997.x

11 Identifying Silent & ‘Genre’ Videos  Create Lists:  “call # between pn 1995.1 & pn 1995.99”  Run against list of Feature Films  Sort by location & call number

12 Identifying Foreign Films  Create Lists:  “d has foreign films and loc = wav or d has foreign films and loc = wao or d has foreign films and loc = wvi”  Run against list of all video recordings  Sort by location & call number

13 Rapid Update  Use Rapid Update to change loc on all of these items from wav to wavr  Efficient editing of item records for 1,400 records

14 Videos to Reclassify & Relocate  Create Lists  “call # has PN1997”  Run against Feature Film list  Result: 1,404 items  Sort by location and call number

15 Editing of Item Records  Each item record will be touched  Change call number  Add subject headings if necessary  Change location from wav to wavr individually

16 Literary Works & Others  Identify one final group for reclassification:  DS, E, F, K, PQ, PR, PS, PT, etc.  Create Lists:  call # between a____1 & pn_1994.999 or call # between pn_1998 & z_9999.999”  Run against Feature Film list  Result: 437 items

17 Adding Messages  Using Create Lists will identify unforeseen errors, problems and inconsistencies in catalog  Some videos were on list, but not found on shelf  Checked out or missing  Add message to item record: “Bring to Cataloging when returned for reclass, change loc to wavr”  Requires cooperation of Circulation staff

18 Quality Control  Some videos found on shelf, but not on list  Lacking appropriate subject headings:  Feature Films  Foreign Films  Older records cataloged in 1980s  Cleans up catalog  Quality control, identifies patterns to look for

19 Circulation Functions  Goal to avoid confusion  Created dummy patron: “Catalog Dept”  Check videos out & in to this patron

20 Printing Functions  Printed review file lists for marking genre changes and dividing among catalogers  Printed labels for reclassified videos

21 Statistical Functions  Ongoing quality control  Use Statistical Functions to sort lists by location and find errors quickly  Videos with messages still coming in

22 Conclusions of III Usage  Create Lists allowed us to see the scope of the collection and decide how to proceed  Item Lists  Narrow by group  Sorting & Printing  Unforeseen surprises  Many functions of III allowed us to handle entire project in III
