6 2003 is Key for the C-IV Project –By the end of 2003, Release 1 Pilot will be complete in Stanislaus County Release 2 Pilot will be complete (Dec- Jan) in Stanislaus County

7 Key Dates in San Bernardino R1 July 2004, 7/26 R2/R3 October Dates are pushed back 2 months due to budget and 2 months due to the Quarterly Reporting ACL Benefits of longer timeline-- Longer for conversion More time for training More for lessons learned More time for rollout

8 Coach Training for You Infrastructure –Preparing for Your C-IV Journey, 90 minutes, all staff Types of Training Who to call for help Desktop details Website –Train the Coach, 3.5 hours, coaches only Effective Coaching Support Structure for Coaches –Sessions at county offices –Registration will occur two months prior to infrastructure

10 2. Education Model Office WBT Demo Education

11 Training with C-IV … Called a Learning Program –Includes all communications and Change Management –Change Discussion Guides –Model Office –WBT (Web Based Training) –ILT (Instructor Led Training) –Implementation (Implementation Team)

12 Model Office Defined as a simulated post- implementation environment designed for County staff to test and become familiar with new processes. Participants –6 months minimum specialty experience –Any level –Basic computer skills –Majority of activity in business process being tested –Ability to communicate and give feedback

13 Model Office Scheduling for R1 10 people a session Sessions last 3 days – week Sessions will include: –Navigation Instruction –Change Processing –Script Execution –Scenario Processing –Independent Processing –Conversion Processing Participants feedback— daily, end-of session Information will be used to update system, build communication, and update implementation methods.

14 WBT Characteristics of Web-Based Training (WBT) are:  Completed through a Web-Based Application  Simulates C-IV System and provides practice  Can be accessed after training  Tracks Student progress and completion

17 3. Communication Change Discussion Guides Updates Internet Intranet Survey Newsletter Distribution Coach Homework Communication

18 Change Discussion Guides A guide to describe the process changes that will affect the way a team performs their jobs. Guides will be distributed two months prior to R1 training. Guides will be distributed by management and supervisors. Supervisors will receive CDGs in Leadership Series III.

19 Change Discussion Guides Updates Updated based on County User Group and Coach comments Request included: –Easier to read, simple language – Friendlier feel –Less Accenture deliverable feel –More graphics –Logical flow

22 Distribute the C-IV Connections Read C-IV Connections Make a copy of the newsletter for everyone on your team Make additional copies for your break room Use color paper if possible Submit articles, ideas and quotes to John Johnson, Training Coordinator

23 The Internet/Intranet Survey The Internet/Intranet Navigational Skills Surveys were deployed in each county during line staff demos –July 2002 through Nov 2002 Some staff members that have not completed a survey. Goal: To identify all of the staff who should take the basic Internet/Intranet Navigational Skills training, we need to collect surveys from all Students. Coaches will collect the missing surveys and return them to the Training Coordinator - John Johnson.

24 Directions 1.Locate your name on the Survey Follow-Up list. 2.Distribute Surveys to all your team members who are on the list. 3.Explain the purpose of the Survey and how to complete it to your team members. 4.Return the Surveys via Interoffice Mail to: ITSD/C-IV Project Mail Code: 0087 Attn: John Johnson 5.All Surveys must be returned by February 20, 2003 Thank you!!!

25 User Database Updates Send any changes to who is on your team –Additions, subtractions, deletions Send changes if employees’ roles change –E-mail to John Johnson, Ken Doughton, and Tim Albin
