3  Each Agency will likely run the program differently depending on how the Chief has organized the process within that agency.

4  OPTIONS  Program Manager Uses Files and Spreadsheet  Using Microsoft Outlook Calendar  Using Microsoft Outlook Tasks  Using Project Management Software

5  OPTION 1 – Program Manager Uses Files and Annual Compliance Spreadsheet  Pros:  Easy to use if you remember to do it  Cons:  You must remember to do it  Can forget and get behind  Agency at risk if items not done

6  OPTION 2 – Program Manager Uses Microsoft Calendar for Reminders  Pros:  Easy to use  One time set-up will ensure continuous reminders to you

7  OPTION 2 – Program Manager Uses Microsoft “Calendar” for Reminders  Cons:  Program Manager still is responsible for getting it done.  Reminders can be deleted and no further action can result.  Only “reminds” the user.

8  OPTION 3 – Program Manager Uses Microsoft “Tasks” for Project Management  Pros:  One time set-up allows for assignment of tasks  Tasks can be delayed but still exist and require definitive action  Create an Outlook Email Address for Program so Program Manager function can be moved.  Tasks can be assigned to others

9  OPTION 3 – Program Manager Uses Microsoft Tasks for Project Management  Cons:  Must have Microsoft Outlook  Initial set up can be time consuming but set and forget…  Set Task for PM to check status each month

12  OPTION 4 – Program Manager Uses Stand Alone Project Management Software  Cons:  May be expensive for multi user  Must learn new software  May need IT permission  May be difficult to move if PM changes
