CHOOSING a Unit 3 Assignment Spreadsheet Design TASK 1 Read through the introductions to the 3 different assignments. Choose which one you will do. Write an introduction IN YOUR OWN WORDS describing the situation, where the spreadsheet will be used, who will use it, why the users want it, and what it will be used for. CHOICE 1: A-VCE ICT Groups - Marks Recorder and Analyser SITUATION at All Saints School and Technology College Each September 2 new groups of students start the A-VCE ICT course. Each group is named as 12A or 12B. A group can be of up to 20 students. Course tutors need to record marks achieved for each student and for all students in the group. Each unit mark (0-24) is graded (U/E-A). Marks and grades are analysed (e.g. highest/lowest/average) and reported in summary tables (e.g. how many of each grade) and charts (e.g. column chart of total course marks). Analysis and reporting can be very time consuming and it is easy to make errors. The course tutors are very busy people. CHOICE 1: A-VCE ICT Groups Marks Recorder and Analyser USER REQUIREMENT – Improve the efficiency of recording, analysing and reporting. ICT tutors need a spreadsheet that will store the details of a student (e.g. roll number, names) and of the marks given for each unit of work (1 record per student). The sheet will work for a group of up to 20 students (i.e. 20 records). The spreadsheet will calculate a range of information about each student and the group using the marks data (e.g. course total, unit grades, count of grades.) The spreadsheet will output a range of reports, including charts, about individual students and the group. Features will be built into the spreadsheet to make life easier for the user e.g. automation of routine operations, sheet protection and data validation to reduce data entry errors, on- screen guidance, and good quality presentation. WHAT TO DO Develop a spreadsheet solution to do what the ICT tutors require, using at least 6 of the more complex spreadsheet facilities. Make user documentation that guides an ICT tutor through the operation of the spreadsheet you have developed. Make technical documentation that shows the design, testing, and development of your solution. NO EVALUATION. SEE TASK 1

CHOICE 2: GNVQ ICT Groups Attendance Register and Analyser SITUATION at All Saints School and Technology College Each September 8 new groups of students start the A-VCE ICT course. Each group is named with a number e.g. 291, 292 etc. A group can be of between 15 and 25 students. Course tutors need to keep a register of lesson attendance. The register marks need to be analysed (e.g. total lates, total present) for each lesson and for a half-term. The half-term analysis is done for the group as a whole and for each student. Information from the register analysis is turned into reports (e.g. percentage attendance for a student). It is easy to make a mistake when entering register marks, leading to inaccuracy. Analysis and reporting can be very time consuming and it is easy to make errors. The course tutors are very busy people. Features will be built into the spreadsheet to make life easier for the user e.g. automation of routine operations, sheet protection and data validation to reduce data entry errors, on- screen guidance, and good quality presentation. CHOICE 3: Hermes Computers Invoice System SITUATION at Hermes Computers Ltd. Hermes Computers builds computers according to what each client wants. Producing an accurate invoice (i.e. a list of system components and their cost, sub-total, VAT, total cost) can be time consuming and difficult. Each invoice is dated and given an unique number in sequence from the previous completed invoice. Terms and conditions of the sale are stated on the invoice. The summary information for each invoice is copied into an invoice register (invoice number, invoice date, sub-total, VAT, total cost). Two hardcopies of the invoice are printed. One copy is kept and filed by Hermes Computers, the other is given to the customer. Hermes Computers Ltd would like a spreadsheet to make this system more efficient and accurate by automating: the finding of item details (name, price); calculation; copying the summary information to an invoice register.
