New Onboarding Process Directly Supports the UTSA Strategic Initiatives and Goals (strategic initiative 5) Increase compliance for I-9 forms, ethics training and offer letters Create efficiencies Impacting new employee productivity by providing tools earlier to the employee Reduce time HR spends correcting problems Retention of employees

New Onboarding Process Present Process for Benefits Eligible Staff HRMS Position ▫ Chain of approvals STARS Posting ▫ Chain of approvals ▫ Completion of the hiring process (HP) HRMS assignment created by department Benefits Orientation ▫ Approval of Assignment + 1 day ▫ Acquire needed tools (parking pass, network login, ASAP…)

New Onboarding Process HRMS Position (no change) ▫ Chain of approvals STARS Posting ▫ Chain of approvals ▫ Posting ▫ Hiring Proposal (No Change) ▫ With HP approval (New Assignment Form)

New Onboarding Process HR Onboarding Begins Onboarding will take place 1 st – 3 rd Mondays of each month ▫ Except when Monday is a holiday Receives new assignment form ▫ Form content ▫ Timing of the form Sends offer letter and Preboarding packet ▫ Electronic vs. Manual ▫ Confirmation of attendance Create the assignment in HRMS ▫ Approval of assignment in HRMS

New Onboarding Process Employee will spend first full day in HR Morning session (information and paperwork) Lunch Afternoon session ▫ Network login ▫ High assurant eid ▫ ID Card ▫ Parking Pass ▫ Benefits meeting ▫ Access Control ▫ Telephone setup (if applicable) Q &A session
