Email Etiquette

It’s about Communication O Reply in a timely fashion O If from teacher, boss, etc. – READ and reply if needed O If from a teammate – READ and REPLY O What if you can’t give a detailed response right away? It’s OK to say “I don’t have time to reply in detail right now, but I will get back to you [in some time frame]”

Who should be included O Reply vs Reply All (can be hard on phone) O Keeping team members informed (cc)

Is that the impression you want to make? O Use a spell checker! O Use punctuation O Good grammar is important (X and I, not me and X) O Use ALL CAPS judiciously

Is that what you meant? O Read a second time before you send O Be careful of tone (sarcasm, humor… know your audience) O Send praise! We all love it. O Avoid criticism O If you’re REALLY MAD… it’s not the time for email.

Getting Organized O 1 subject per message O Include meaningful subject line O Keep messages brief, to the point O If it needs to be long, O Include a summary at the top O Clearly identify items that need a response O If-then works well. As do options. E.g., do you want to a) meet on Saturday, b) get X done first then email to set a meeting?

Necessary evil O DON’T feel you have to monitor email constantly (breaks concentration) O DO check at some reasonable interval for important messages (#1 pair/team complaint) O DO figure out how to quickly delete or file less important messages, so important messages don’t get lost.
