Selecting, Formatting, and Printing a finished Report…….

Select the Finished Reports Wizard

Find your report on the list of finished reports If your report is not listed check the Display Report Scheduler Status to see if another report is running ahead of your report If there is another report running wait a few minutes and then check again If you see your report name currently running, then you just need to wait until it finishes to view it You may use the Refresh Report List to check to see if the report has finished and appears on the listing of finished reports Overdue Notices

With your report selected you can select the following options

View: displays a document with the specified log and result selections View log: when checked the results of the report will include the log. View result: When this check box is selected, the primary text of the report appears. This check box should almost always be selected. Format report: when checked, will apply the default formatting option such as report headers, spacing and page breaks. In this report you have the option of limiting the selection to all, those with email addresses, and those who do not have email addresses. You may change selections in the view properties screen For printed reports like Overdues we will unselect log

PC Print: the application you have defined to print reports will launch System Print: should not be used as it is for a system-wide printer Review the remaining log, result, format and recipient settings

Email: sends a finished report to selected email addresses You may change selections in the Email properties screen Format report: when checked, this will apply the default formatting option such as report headers, spacing, and page breaks. In this report you have the option of limiting the selection to all, those with email addresses, and those who do not have email addresses. This selection does not create email lists for students Add as many email addresses as you like then click Save. Enter one or more valid email addresses above

Remove: permanently removes reports from the finished report list. Ownership: assigns who is able to run or see this report – trying to change ownership under a Reporter login will result in an error message. Close: will close the reports screen. Please do not remove any reports as the System Administrator will do this on a regular basis for you

Let’s look at the Change format option Never change Character set table Top margin Bottom margin In rare instances Page width may need to be changed

Page length may need to be changed if your report is not lining up correctly Before you make any adjustments make sure that the settings in the application you have defined to print reports (MS Word 2003 & earlier) has the following page settings:  Portrait  Left and Right Margins of.92 inch  Top and Bottom Margins of 1 inch

Before printing the reports make sure that your reports are lining up correctly by using the Print Preview option in your printing application This is found under the File menu in most applications

Notice the slight gap on the top of the page on the right

Looking a few pages forward (19-20) we can see the format problem even better WE HAVE A PROBLEM…….

Changing the Page length is not done in the Format Page screen: This screen only displays the default setup To change the Page length we will need to go back to the start up properties screen to change the default setting

Choose the Report Session wizard found under the Common Tasks Wizard heading

Let’s try changing the default page length to 57 Let’s go back to the Finished Reports to see if this is the right setting 57

Let’s view ABC Overdue Notices Since we are printing make sure View Log is unchecked for this report Choose Change Format We can now see that the page length has been changed to 57 Click OK Let’s check our print preview

So far all looks good – let’s check pages 19-20 to make sure

All is still aligned properly, this looks like the right setting for this printer….

 You may now print off the report If this seems to be the correct setting for the majority of your reports, then I would suggest saving this default format. Close the printing application program and close the Finished Reports wizard. Close Symphony. The software should now tell you that the Properties have changed and ask if you wish to save these settings. If you choose Yes, this will be the default format for this computer until you change it in the future.
