A STEP BY STEP APPROACH Extension

Build it and they will come Establish the Extension Committee Start having regular meetings Spread the word Opportunities will present themselves Believe it or not - there are people in your district who would love to start a Rotary club

First Things First Appoint an Extension Chair Call a meeting of the Extension committee Invite as many people as possible - 10 or more people if possible Write an agenda Select or appoint a Secretary

The First Agenda State the purpose and goals of the Extension Committee Emphasize the importance of this committee’s work List possible locations for new clubs Review roles of committee members Potential committee members

Who is on your committee District Governor Past District Governors Assistant Governors District Governor Elect District Governor Nominee District Governor Nominee Designate Other District Leaders Concerned Rotarians

The First Extension Meeting Record meeting minutes Review Agenda items Discuss people’s issues and concerns Set the date for next meeting – you should have a monthly meeting

Future Extension Meetings Review and approve the minutes of the last meeting Review the status of possible club locations Review the status of new clubs in progress Begin writing your own how-to guide Invite new members onto the Extension Committee Set the date for the next meeting

So you have a location Ask for a volunteer who: - Knows the neighborhood - Can select a meeting place - Knows a few people in the neighborhood - Fill out the Club survey? District Governor’s role - Governor’s representative - Governor’s attendance at meetings

A Few Things You Need Bell and gavel Rotary banner Podium Temporary name tags Laptop computer Projector

First Meeting of Potential Club Invite 2 to 4 people from the neighborhood to attend – it helps if they know each other Ask 2 or 3 Extension Committee members to attend. Run the meeting like a Rotary meeting Talk about Rotary to the potential members Ask if they know anyone else you can invite Set the date for the next meeting

Second Meeting of New Club Use email between meetings to stay in touch Encourage 2 or 3 Extension Committee members to attend Invite Rotarians from neighboring clubs Invite additional people from the local community Continue with Rotary protocols Have a short program Make it fun

Third Meeting Use email to stay in contact between meetings Encourage attendance by Extension committee members and members from neighboring clubs Talk about Rotary Have a program Introduce happy dollars Start talking about a possible service project Keep it fun

Fourth Meeting Select a treasurer and open a bank account Talk about club dues Talk about the requirements for chartering a club Start planning a service project Continue with support from Extension committee members Make it fun

Fifth Meeting Start a Newsletter – ask for a volunteer Continue planning the service project – set the date Get publicity for your service project Set the amount for club dues Plan a visit / joint meeting with another Rotary club Continue with support from Extension Committee members Decide on a name for the club Submit Club survey form to RI

Future Meetings Maintain the Rotary Protocols Have regular programs Identify and appoint the Charter President Continue doing service projects Continue emphasizing the goal of becoming chartered Continue with support from Extension Committee members Ask your Governor to declare this club a Provisional Club Keep having fun

Chartering The Club Fill Out New Club Form and submit to RI Submit member data in spreadsheet format Plan a Charter Dinner – Invite the whole district Invite other clubs to present gifts to the new club - A bell and gavel - A Club banner - A Four Way Test Banner - Membership Kits

Post Chartering Activities Extension Committee members should continue to support the club - attend meetings every few weeks - offer to provide programs - make sure the club continues to look for new members - help with teaching new members about Rotary - help keep it fun
