Electronic Certification of Credentials eCRF

What is an eCRF? eCRF is an electronic certification of credentials form for verification of faculty credentials. The eCRF is required for all Faculty or instructor who will be assigned as the PI of a course. The eCRF will be available 24/7 on PantherSoft Campus Solutions Eliminates the need to request primary instructors to be added to the instructor advisor table. PI = Primary Instructor

One form for all instructor types (GTA, Faculty, ADJ, etc.) Credentialing for Primary instructors will be done using the eCRF Including GTA’s Credentialing not required for secondary instructors Any teaching overloads will be classified as adjuncts for the purposes of the eCRF

Prequalification page Search By PID - all currently existing data based on degree in the PSHR person profile or previously approved credentials will populate. Search By Degree earned (Both degree type and degree CIP MUST be entered) - all approved courses will populate. Search By Course (Both subject and catalog number MUST be entered) - Will return all possible degrees that will clear to teach the specified course.

Automatic link to AcadOrg for course scheduling Any new hire or faculty with an approved eCRF will be automatically added to the instructor advisor table according to the approved courses from the eCRF. Secondary Instructors will continue the current process of requesting linkage to OCM

New workflow

Automatic approval notifications Email notification to approver of pending eCRF through workflow. Approved email confirmation sent to Initiator/Chair/Dean Approved with changes email notification to Initiator/Chair/Dean Pushback or Denied email notification sent to Initiator/Chair/Dean Cancelled form notification sent to creator and current user.

Work List for approvers All pending eCRF forms will be available in the Worklist for Chair role, Dean role and Academic Affairs role. Once eCRF is approved the link will be automatically be removed from the Worklist.

How the eCRF affects initiators CV and supporting documentation must be attached to eCRF Foreign transcripts and evaluations can be attached but not transcripts due to sensitive information CRID is now required on the Initial Appointment Forms to confirm credentialing for all new hires

Justifications Clearance method can be selected from the drop down per course The justification memo and course objective is integrated into the new eCRF

Creating an eCRF Preferred Internet Browser: Internet Explorer or Firefox. Navigation from PS Campus Solutions: FIU Custom > Student Records > Use > Credentialing Process > Credentialing & Cert. Form > Add a New Value Department selected is based on who has the credentialing responsibility

Copy existing degree details If any degree is available in the PSHR Person Profile page, the information will populate New Hires will not have degree information in the PSHR Person Profile page

Entering Degree Details Highest degree should be entered first Degree CIP = 6 digit code representing the Discipline/Major/Degree plan To search for a degree CIP use the magnifying glass Institution name will be populated once school code is selected Foreign Transcripts will require the evaluation request date Terminal Degree will be flagged automatically

Proposed course assignment Select one of the following choices: 1.Entire departments by using the AcadOrg, 2.All courses with the same prefix by adding the Subject Area or 3.Specific courses by entering both Subject and Course Catalog Nbr Use the “+” sign to enter multiple entries. If the course auto-clears you will see a Verified check on the right
