NorCal OAUG How we run our GEO

Organization We incorporated in CA as a Non-Profit S-Corporation This allows us to: Easily enter into contracts for conference facilities Have a checking account We file a federal and state tax return annually (actually we have an accountant who does it for us for ~$400)

Organization, Board We have 6 elected board members Term is for two years Only 3 positions are elected each year No more than 3 board members can be Non-Users (Non-Users are any company with an interest into selling into the OraApps workspace) This year we added a 7 th position for a board appointed Oracle Representative

Board Member Activities We have conference calls every 2 weeks Board members must put on a Panel Discussion Board members must all assist with the Training Day We strongly encourage board members to attend Oracle Applications Conferences: OAUG Collaborate Open World Application Days

Board Elections Elections are run by the existing board using email All existing board members see the votes Votes must be from members we sent ballots to OAUG will assist you with your election (contact Lynne Weil)

Bylaws and NDAs Our bylaws are available on our web site Our NDA (Non Disclosure Agreement) for board members is available on our web site Other contracts and sample documents are available on our web site http://www.norcaloaug.org

How to deal with Vendors Membership list is never released to Vendors We do not send email blasts on behalf of Vendors We use to run email banner ads (stopped due to spam filters)

How to deal with Job Postings Our GEO does not forward or post job openings or people looking for employment The OAUG has now opened a new Skills Market Allows users to post resumes for free Allows employers to post jobs for a fee

Events This is the key to your GEO and SIG Events: Panel Discussions Training Days Oracle’s Application Days OAUG Collaborate Conference

Panel Discussions 4 to 6 panel discussions per year 3 to 4 hour event Always get an Oracle Development or Product Specialist Focused topic: Workflow, HR, Inter-company Transactions, etc. Free for attendees, only ask for registration on our web site Held at company sites throughout SF Bay Area Approximately 75 to 200 attendees Occasionally get a vendor to sponsor refreshments

Oracle Applications Day 2 Oracle Applications Days per year All day event Oracle Event, we have a table and some participation Provides contact with non-Oracle Applications Users (opportunity to expand membership roles) Events are free for attendees Held at Oracle’s Conference Center in Redwood Shores Approximately 300-500 attendees

Training Day 1 Training Day per year $95 Fee for Attendees Held at a conference center Exhibit hall for vendors 57 presentations Presentations selected by board 6 sessions by 10 tracks 1/3 each - Users, Oracle, Exhibitors

Training Day, Exhibit Hall 29 Exhibitor Booths Exhibitors help pay for the majority of the events cost Exhibitors purchase a 8’ x 8’ booth for $750 Exhibitors can also purchase one of 12 paid presentation slots for $1000 Attendee lists are not distributed to exhibitors Exhibitors are encouraged to have raffle prizes to collect contacts Exhibit hall layout is S shaped with the conference food at the end of the maze, attendees walk by each booth several times during the day

Training Day, Booth Bingo We collect raffle prizes from our member companies: Pixar, Logitech, Lucas Arts, etc. The NorCal OAUG holds an exhibitor booth bingo, collect ten stickers on a layout card to be entered in the raffle Hold Exhibitor and NorCal OAUG raffles at the end of the day

Training Day, Oracle Involvement We have Oracle Sales Consultants provide the majority of the Oracle presentations We get some Oracle Development participation This year we had Jack Malloch from Oracle Support provide a dedicated track on Oracle Support Work the Collaborate’06 and Oracle OpenWorld shows to make contacts Use your Oracle Board Member

Training Day, Registration The NorCal OAUG handles all attendee and exhibitor registration on our own web site Payments are made by Check or Credit Card through PayPal

Membership Our group is up to ~1900 members Spreading our groups name is our top priority Logo’d give away items Membership comes from: Our Web Site Registration Page Event registration On-Site Signups at Oracle Application Days OAUG now has a facility to allow people to sign up for multiple GEO’s and SIG’s just by checking boxes

Membership Communication Primary methods for communicating with members are email and the web site. Bulk Emails We use a program called ‘Group Mail Pro’ http://www.group-mail.com/asp/common/default.asp http://www.group-mail.com/asp/common/default.asp Sends emails to individuals, (not cc or bcc) We send emails as plain text (no HTML, banners, images, etc) Sends emails 1 per minute to avoid ISP blocking (variable timing) Many other options for bulk mailing We are moving to a Hosting Service with a Newsletter tool to handle this in the future (1and1.com)

Web Site Give users a reason to visit your web site Keep the content fresh and up to date Content from presentations and papers is critical We have ~450MB of presentation content We are expanding zip files so that search engines better index the web site (only 20% complete) We host our web site at 1and1.com, moving from Earthlink OAUG also provides a hosting option

How Can Oracle Help You Establish a relationship with the Oracle Sales Group in your region (we can all help each other out) Consider placing an Oracle Representative on your board Oracle can provide: Speakers Venues for meetings Exhibitor contacts Logo’d give away items (possibly even co-produce an item)

Budget OAUG can assist you to get your group started (contact Lynne Weil for more information) You need to become self-sufficient We only have one primary source of funding, our annual Training Day Event

OAUG Awards/Recognition Make your group recognizable Create a logo, theme and stick to it Get a domain name (emails and web site) Logo Items Shirts for board member to wear to events Take advantage of OAUG Awards Fill out paperwork for the Geo/SIG Certificate of Distinction award Then publicize it when you win
