Mission Statement Madison Crew enables student athletes to –Learn teamwork, aquatic, and rowing skills –Attain top physical condition –Feel the thrills of competition and winning –Enjoy socializing with classmates and other students –Broaden their experiences via travel to away regattas James Madison Crew Boosters Organization (JMCBO) is a non-profit organization that exists –To provide the resources for Madison Crew, a club sport As a club sport, the team is entirely supported (financially and with volunteer work) by the parents / guardians –To protect student athletes from all dangers –To ensure the smooth operation of Madison Crew and its eligibility to compete in VA and national regattas

Madison Crew Spring Season Spring Season begins 21 Feb 2011 –Daily practices are held 3-7 p.m. at Sandy Run Park –Bus transportation is provided by JMCBO –Our first regatta is 26 March –Practice continues over Spring Break (18-22 April) Regatta on weekend before Spring Break –SRAA National Championships are 25-27 May Pre-season conditioning begins 29 Nov 2010 –Conditioning takes place 3-6 p.m. at Madison HS –Coaches lead and supervise winter conditioning Team Captains assist coaches by leading work-outs –Days per week increase as Spring season nears –Daily practices transition to Sandy Run in mid- February (weather permitting)

Madison Crew Costs Dues: $950 for rowers / $750 for coxswains Includes shuttle bus costs and VASRA capital fund assessment $200 discount for 2 nd and 3 rd sibling rowers (doesn’t apply to coxes) The base dues rates have been the same for several years –11 November – First payment ($250) is due today! MUST MAKE FIRST PAYMENT BEFORE PARTICIPATING IN CONDITIONING –11 January – Second payment ($300) is due –14 February – Final payment ($400 / $200 for coxes & siblings) due ALL DUES MUST BE PAID TO BOARD BUS FOR PRACTICES AT SANDY RUN Dues refund policy –The first dues payment is not refundable for any reason –Second & final dues payments are fully refundable if requested in writing to the Treasurer within 30 days of the due date 2 nd payment refund date: 10 February Final payment refund date: 16 March

Madison Crew Fundraising Fundraising: $600 minimum per rower / cox –Raffle # 1 (ended 8 November) –Raffle # 2 –Erg Relay (new event!) –Mulch –Others: car washes, Fosters’ Grille, Let’s Dish, Corporate Donations Fundraising deadlines: –$380 – March 25th (the day before the first regatta) MUST MEET THIS DEADLINE BEFORE PARTICIPATING IN ANY REGATTA –$600 – April 17th MUST COMPLETE FUNDRAISING COMMITMENT TO GO TO PHILADELPHIA

Erg Relay Summary What is it? A fun event that will showcase our athletes, celebrate the end of Winter Conditioning, build team unity, and raise money for the team When: Friday, January 21, 2011 from 7 to 9 PM Where: JMHS cafeteria Attendance is free (to encourage a large crowd) Teams of 3 rowers and one “cox” will compete for prizes in a relay on ergs lasting one hour. Teams will be randomly drawn the day of the event. Participants will solicit sponsors prior to the event from family and friends, and business/corporate contacts that they have a personal connection with. Top fundraiser will win a prize.

Erg Relay: Two Purposes Fundraising Top fundraiser will be celebrated! Sponsorship forms and tracking charts will be distributed and posted to Warhawk Crew website. Sponsorship levels: –Gold/Silver level sponsors ($200/$100) will receive recognition at the event –Friend of Madison Crew” contributions (over $20) and Bronze level sponsors ($50) will be acknowledged in the program –Don’t forget to ask individual sponsors if their employers have a corporate matching program! Food and Fun Relay winners will be celebrated! Ice Cream Bar / Bake Sale 50/50 Raffle (tickets $1 each) will be drawn and awarded that night. Chili Contest –Each family (and coach) is asked to bring their best chili recipe in a crockpot. –Event attendees can purchase a taste of 5 different chilis and one vote ticket for $5 –Vote totals will be counted at the end of the event and the winner will be announced –The winning recipe will be served at a future “away” regatta

Erg Relay: Timeline Info packets will be on the Warhawk Crew website (Fundraising Tab) by November 15 th. Packets will contain: –General instructions for collecting donations –Info sheet describing Club and Event, to be used to show potential donors –Master donation tracking sheet for each rower –Receipt/donation form – 2 parts, one for donor and one to be submitted with donation stapled to it Participants must register before Dec 21 st. A link to the registration site will be provided on the Warhawk Crew website Master donation sheets and all donations (checks/cash) need to be turned in by Jan 7th for inclusion in the program One envelope containing last-minute donations may be turned in 24 hours before the event on January 20th Final tally of each participant’s donations will be announced at the event and the winner will receive a prize

Equipment, Uniform, and Travel Costs Equipment recommended for pre-season conditioning –One set of variable resistance bands (cost: $10) –One yoga mat (cost: $5) Uniforms: $125 total for uniform (uni) and tech shirt (JL) –Uni’s and JL’s are the same designs as last year –Uni’s and JL’s are custom-ordered in December –Refund policy: Costs for uniforms ordered are not refundable for any reason Travel (optional) – approximately $335 per rower / cox per trip for bus, hotel room, food, and security –Stotesbury Cup in Philadelphia (all boats) In 2010, all boats and the entire team traveled to this event –SRAA National Championships in Camden NJ Qualifying boats only In 2010, Madison took most (not all) of our boats to SRAA Nationals

Coaches Salaries Daily Bus Transportation to / from Sandy Run –Shared shuttle bus transportation to regattas from nearby ES Lease / purchase of boats and purchase of oars –New boat: $35,660; Used boat: $10,000 –Cox box: $509; New oar: $310 Insurance for boats, trailers, and D&O liability Storage space for boats and oars at Sandy Run –Long term storage Equipment purchase, maintenance, and repairs Regatta entry fees, association memberships, awards, trophies, etc.

Madison Crew Volunteer Requirements Parents / Guardians –One day of bus chaperoning (round-trip) during Spring practice (Feb-May) Bus leaves Madison HS @ 2:45pm and returns to Madison HS @ 6:45pm –Two regatta jobs at Sandy Run VASRA fines JMCBO $50 for any job that is a ‘no show’ –Participation in one JMCBO committee Committees include Hospitality, Operations, & Fundraising –Occasional “All Hands on Deck” for fundraising (mulch delivery, car washes, etc.) and work days at Sandy Run Students –Sandy Run Work Days, Mulch Delivery, Clean up at Regatta Site 8 hours required for returning rowers / coxes (4 hours for novices) Volunteer Committee Chair –Christy Tetlow, madisoncrewvolunteers@gmail.commadisoncrewvolunteers@gmail.com –Most volunteer sign-ups will be via MySignUp.com

Madison Crew Volunteer Requirements Specialty Skills Needed from Some Volunteers –Information Technology (IT) / website skills needed on Communications Committee –Photographers / videographers needed to record team’s performances and experiences this year –Truck drivers needed for our boat trailer Prefer someone with a large heavy-duty / dually truck Training is available –Boat drivers needed for launches during regattas Training planned this Fall and / or early next Spring Launches are small metal fishing boats with an outboard engine <10 hp –Volunteers needed that are interested in becoming referees for regattas in future years Would observe regattas this year, shadowing an experienced referee VASRA referee clinic is scheduled for 13 November in Merrifield VA –Operations support, including rigging and repair of racing shells

Madison Crew Size Plan Crew size plan is 80 rowers / coxes for 2010-11 season –Returning varsity rowers / coxes in 2011: approx 50 –Interested novice rowers / coxes to date: 30-40 –Represents an increase of more than 30% from the past two years –Size in 2009 and 2010: approximately 60 rowers / coxes Previously, team was 40-45 rowers / coxes Crew Council is the forum for parents’ issues & complaints –Ombudsman for students, parents / guardians, Board, & coaches –5 parents investigate facts and make recommendations to Board –Chaired by Howard Springsteen, anhotika@verizon.netanhotika@verizon.net

Boat-Naming Contest Several Madison Crew boats need to be named this year All rowers and coxes are welcome to enter the contest Contest rules –Submit your entries at http://www.surveymonkey.com/s/N9GXF32http://www.surveymonkey.com/s/N9GXF32 –THREE entries maximum per rower / cox –In the event of multiple entries for the same suggested boat name, the first person to submit the name would win –If your entry is selected as the name for one of the boats, you will earn $100 towards your fundraising commitment No cash value Not transferable to anyone else –Contest begins at 8:00 am on Saturday, November 13 th, and ends at midnight on Sunday, December 12 th –All boat names MUST be family friendly and crew-related
