1 Year 9 Integrated Project Lesson 13: Using Mail Merge

2 Objectives Know that applications such as databases, word processors and DTP packages can be used to automate processes Understand how integrating applications can assist businesses and organizations Be able to integrate a number of applications to produce mail merged letters (Word) and mail merged tickets (Publisher)

3 Starter (10 minutes) In Supalai, there are 3 towers, each with 33 floors and 21 apartments on each floor. The electricity bills are sent to all apartments on the same day every month. Challenge 1: how many apartments in each block? Challenge 2: how many apartments in total? Challenge 3: I am going to write the address of one apartment on the board. Time me as I write it. How many seconds? Challenge 4: how many seconds would it take to write all the addresses of all the apartments every month? How long is this in hours?

4 Background information Some people have sponsored your event and given you money to help you run it - these people are your VIPs. You need to write a formal letter to invite these VIPs to the First Gear Millionaires’ Motor Show. It should be formal but that does not mean it cannot look cool, so make sure you use n attractive layout, a logo and (if you wish) some pictures of your cars.

5 Task 1: 15 minutes You need to tell the VIPs : When : 15 th – 24 th October 2011 Where : Siam Paragon, Bangkok Why they are being invited What special treatment they can expect Your address – Director’s Office, First Gear Millionaires’ Motor Show, Siam Paragon, 991/1 Rama 1 Road, Pathumwan, Bangkok 10330

6 The layout you should use for your letter is on the next slide. Use the following recipient details for your letter: Miss Christine Shepard, 17 Willow Road, St Davids, SA62 4FR

7 Show address

8 Task 2: 15 minutes Use Mail Merge to create automated letters for each of your VIP sponsors. Print the letter showing the merge fields. Then print the personalized letters. Number all the pages and put them into your project pack.

9 Task 3 (10 minutes) Open the ticket you created in Publisher during lesson 4. Use mail merge to personalise the tickets for your VIPs. Print the tickets showing the merge fields. Then print the personalized tickets. Number all the pages and put them into your project pack.

10 Homework: Ensure that all tasks in your project booklet are up to date and complete.
