2. 4.2.24 Student Book © 2004 Propane Education & Research CouncilPage 1 4.2.24 Documenting Vapor Distribution System Installations During the installation or modification of vapor distribution systems, the following operations should be documented: Piping system pressure tests and inspections Leak checks of the system Regulator operational tests Changes in the system design made in the course of system installation (applicable in some local jurisdictions)

Make sure you comply with any company-specific policies and procedures for documenting vapor distribution system installations or modifications and fully document these activities on the designated company forms. Job Permits and Inspections State or local jurisdictions may require new or modified installations to be inspected. These inspections could require construction permits, specific tests and inspections. Many building inspection and code enforcement authorities use inspection tags, decals, permits and other documents to monitor work.

Sample Building Inspection Tag It is important to know that inspection tags decals or permits should not be removed from their posted location(s) on the job site without authorization. They can only be removed by the inspection officials, or when completed, by the building owner or owner’s agent as a step in the application for a final building permit of occupancy. However, the tags may be photocopied for company files with the permission of the general contractor or property owner.

5. 4.2.24 Student Book © 2004 Propane Education & Research CouncilPage 2 Identifying Paperwork to Document the Installation or Modification of a Vapor Distribution System Construction Drawings and Documents It is a good idea to keep architectural drawings, site plans, building floor plans, appliance schedules, and detail drawings, plus all change orders, in company files for both future reference, and possible jurisdictional compliance. Other documents such as the gas customer use profile, job bill of materials, and job cost and estimation work sheets could also be included in company files. Updated versions of these documents reflecting the changes that occurred during construction are useful for later service work and for analyzing business performance.

Regulator flow pressure and lock-up tests should also be documented on forms provided by your company.
