3 Add an Appointment to Your Calendar 1.Select New Appointment 2.Type the name of your appointment in the Subject field 3.Type the location of your appointment in the Location field (e.g., Physical location and/or con call information, etc.) 4.Set “Free,” “Working Elsewhere,” “Tentative,” or “Out of Office” in the Show As dropdown or leave it defaulted to “Busy” 5.Select a reminder time from the Reminder dropdown or leave it defaulted to “15 minutes” 6.Select Save & Close

4 Add an Appointment to Your Calendar and Invite Others, Part 1 1.Select New Appointment 2.Type the name of your appointment in the Subject field 3.Type the location of your appointment in the Location field (e.g., Physical location and/or con call information, etc.) 4.Leave “Busy” in the Show As dropdown 5.Select a reminder time from the Reminder dropdown or leave it defaulted to “15 minutes”

5 Add an Appointment to Your Calendar and Invite Others, Part 2 6.Select Invite Attendees 7.Add any email addresses for any invitees who are not New Editions employees 8.If a New Editions employee is invited, select To and choose them from the dropdown that appears and select “Required” or “Optional”* 9.Repeat step 3 for each New Editions employee that is invited 10.If you require the New Editions conference room, choose “Conference Room” from the dropdown and select “Resources”* * NOTE: For remote users, you will need to be logged into webmail to access employee email addresses and resources

6 Add an Appointment to Your Calendar and Invite Others, Part 3 11.If you require the New Editions conference call line, choose “Conference Line” from the dropdown and select “Resources”*. NOTE: You must also include the project number or name in to the Subject or Location field if you use the conference line. 12.Select Okay 13.Select Schedule Assistant 14.Find an available time for all invitees (NOTE: non-New Editions employees’ schedules will appear as “No Information” as they are not connected to our network) 15.Once you’ve found a time that all invitees are available, select Appointment 16.Select Send * NOTE: For remote users, you will need to be logged into webmail to access employee email addresses and resources

7 Cancel an Appointment on Your Calendar 1.Find the appointment on your calendar and double click it 2.If no invitees are connected with this appointment, simply select Delete 3.If invitees are connected with this appointment, select Cancel and then select Send Cancelation

8 Update an Appointment on Your Calendar 1.Find the appointment on your calendar and double click it 2.If no invitees are connected with this appointment, make the necessary changes and select Save & Close 3.If invitees are connected with this appointment, make the necessary changes and select Send Update

9 Scheduling Personal Time Off 1.Create an appointment in your own New Editions calendar 2.Type “Your Name - Out of Office” in the Subject field 3.Set “Free” in the Show As dropdown 4.Select Invite Attendees and select “New Editions Master Calendar” and your managers name in the To field (NOTE: Be sure to get your manager’s permission before scheduling personal time off)* 5.Select or enter Start Time and End Time 6.Select the All day event checkbox 7.Select Send *NOTE: If you would like to schedule your vacation from a non-New Editions calendar (DHS or VA Outlook, Google, etc.) simply invite NewEditionsMasterCalendar@neweditions.net in Step 4. NewEditionsMasterCalendar@neweditions.net
