2 Etiquette – a list of rules that we observe Phishing - sending an email to a user falsely claiming to be a legitimate company to scam the user into providing information, such as personal information and bank account numbers on a bogus website. The details will then be used for identity theft. Spam Filter - With a dial-up connection you have to pay the cost of your Internet phone calls (local rate) and in most cases a subscription to your provider (though some are free). Dial-up users can download their emails and read them offline to keep costs down. A broadband connection is 'always on' with a flat-rate subscription. Very few people pay by the minute nowadays and the majority of people pay a monthly fee for broadband access. Anti-virus scanning is becoming standard on email accounts and many email providers now offer a spam (electronic junk mail) filtering service. Chat rooms – Internet services such as chat rooms and email have been the subject of many well-publicised cases of impersonation and deception where people who are online pretend to have a different identity. Chat rooms have been used to spread rumors about well-known personalities. A growing area of abuse of the Internet is email spam, where millions of emails are sent to advertise both legal and illegal products and services. Hotspot – A location that allows you to connect your laptop to a public Wi-Fi internet service. For example you may find a hotspot in some popular cafes or train stations. The service is often free, but some companies may charge by the hour to use the hotspot

3 Safety on the internet & email To stay safe on the internet you need to make sure you do not give your password to anyone even if you know them, Do not talk to people that you do not know or trust on the internet Always make sure the sites you are using are safe and secure sites to be on and not a virus To be safe when using email make sure you do not open attachments from people that you do not know because it could be something you do not want to see or a virus.

5 We put our signature on emails so people know when you are sending an email they know what company you are from and what contacts they need to use and were about you are located. digital signature

6 We do this by going on the email, go on options then all options, we then go on settings and the second picture you see is what you will see on the screen and that is where you put your signature

7 We use cc so we can send emails to more than one person And use bcc to also send the email to someone without others knowing, this comes in handy Using cc and bcc

8 This is the message to the automatic response it must be formal and polite and be set out in the right format

9 We use the automatic response when we are unable to reply because of something such as being on holiday you can but in a message that everyone will get replied to To do this we go on email, options all options then automatic replies and set dates and add your on message and it will be on Automatic response

10 To open an email or to look at your existing emails click on inboxes and then when you have clicked on the email you want it will open to the right of your screen if you double click the email it will open full size Opening an email

11 When wanting to forward an email you click on the email and the second picture will load, click on forward and it will come up with this screen, you the chose who you want the message to be forwarded to and send it Forwarding an email

12 To archive you create a folder in your inbox, go on to an email add them to a set up folder storage, once you have stored and set this up any email you receive from this person or people they will always go into the selected folder examples personal or work folders. Inbox rule

13 My inbox has unopened messages some of these messages may be important and I have not opened them, you need to delete messages regularly to keep this organised to a good standard The attachments I have received from people have already been saved into an appropriate document therefore I have deleted these items (you can see how too save an attachment on slide 15) An inbox rule has been created to send some emails that regularly I repeatedly get sent with no use that are spam. They all go to the Junk Mail folder. (the inbox rule can be found on slide 12) These folders have been set up to separate work from personal emails

14 Archiving continued This is the deleted items folder showing messages that have been checked and are of no use anymore. These items need to permanently be deleted once you are sure they are of no use.

15 Saving an attachment To save an attachment you click on the attachment that has been sent, then a bar bellow shows up with the option of saving an email. Then the option of where and what you want to save it as.

16 To reply to an email you have to open it then the second picture will load with the choice to reply when you click on reply, it will come up with your option to reply and already have the persons email in the section because you are replying t an email you have received from them Replying to an email

17 When you are opening an attachment you have been sent, clicking on it will bring up a bar at the bottom of your screen giving you the option to either open, save or cancel the opening To be safe when using email make sure you do not open attachments from people that you do not know because it could be something you do not want to see or a virus. 18 To send an email you click new and this is take you to the next screen. Once this second screen loads it comes up with some options for you too use To send a the message with righting alone type your message in here. Sending an email

19 To add an attachment to your email you click on the attachment button it will then load up the second picture, with all your documents on you find the one you want and add it you have to make sure you click to attach it. Adding an attachment

20 To add the email of the person you want to send the message to, you can either type the name in the space provided Or you can click on the to and it will load up what is shown on the second picture and you can search for the email this way. Adding email name

21 To set up contacts on the page that loads after you have logged in to the bottom of the left hand side these options will be shown, the left side will load up and give you options, click new and the right side of the second picture will load up this gives you the option of giving information too add new contacts. 22 To show that a message is of high or low importance you have to click on new and then on the options button on the second picture and the option to change from the high low importance option High or low importance
