Update to Deans’ Council October 14 th, 2011 Bookstore Liaison Team Update Fall 2011

What we’ve done & when Before the Fall 2011 Semester In August met with Patti for transition meeting Addressed Bookstore issues for semester start-up: e.g.,Wrong book ordered, Books ordered late (August 27th!), Order changed by new faculty, Publisher “under prints” (instructor choice) With the Bookstore we rolled out the Textbook Status updatesTextbook Status updates TEXTBOOK STATUS REPORT - Only books/courses with stock issues appear on this report. If a book/class is not on the report there were no known issues at the time of the update. MISSING ADOPTIONS LIST - Reports all sections offered for which the department has yet to adopt text/materials. The Bookstore is still awaiting this information from the Department/Program. BOOK LIST – Winter 2011 - Is a report of ALL text/materials information for classes offered during Winter 2011. (This is a reference departments can use for current semester orders.)

What we’ve done & when (con’t) During the Fall 2011 Semester (Now) Surveyed DH/PD/ESP about semester start-up problems and prepared summary reportsummary report Met with Bookstore liaison/oversight team Added representatives from Printing Services to this team Reviewed stats on semester start-upsemester start-up Reviewed DH/PD start-up concerns with Stewart/Hailey Met with Hailey and Stewart several times for specific issues e.g., Plans for AFP texts, delivery of online training Met with regional manager for Follett (Tod Petrie) Tod’s two-week stats and variance sourcestwo-week stats and variance sources Consulted with several acadeans and made the decision to move to exclusive online ordering. Worked with Stewart/Hailey to revise textbook ordering processtextbook ordering process Rolled out training for DH/PD/ESPs on using textbook ordering systemDH/PD/ESPs

Plans for the future Going Forward Using online order system exclusively Stewart has agreed to copy me on any orders past due We’ve agreed to notify Stewart if instructors change or sections are added (both he and Hailey have been added to MSTRSCHD) Revised dates for text submissions in instructor choice Agreement with DH/PDs with instructor text choice, that any unassigned sections will be assigned texts 3 weeks before the semester begins However, even this will continue to cause trouble – publishing industry uses “just-in-time” printing model: Cuts down on warehouse costs, printing over runs less product in pipeline We should continue to assess pain/gain related to instructor choice. DH/PD/ESP will be encouraged to use the online textbook status reports to track and manage text issues in their respective areas A Big win: Bookstore has agreed to carry everything we need for AFP sections. Important because of nature of population and hx of FA issues

Fall Start-up Stats Adoption rate at first deadline (February 11): 2743 sections entered of 3700 sections expected 74% Missing texts (and why): 7 courses – Back orders by publisher (RD 97,98; MA 95-97; PS 110) Late orders from Departments for entire programs (due in April): MA submitted in late August RT submitted in early August Majority of COM, EN & PS not submitted until August (instructor choice) These late orders shortage of 3800 copies (144 sections) % of books on shelf two weeks before semester start: 88% % of books on shelf when semester began: 98% (back)(back)

Tod’s list of missing titles For all of Tod’s stores he compiles a list of titles missing two weeks before the semester starts For all of his other stores, 3%-5% is a typical number For GRCC this number was (wait for it) …. 30.46% (279 titles) Sources of variance: Publisher Problems: 4.26% (39 titles) Bookstore Issues: 5.57% (51 titles) Packet Printing Issues:5.24% (48 titles) GRCC Missing Orders: 15.39% (141 titles) (back)
