UTracK Tracking Student Scenarios

Scenario 1 – Student A Student A is admitted as an incoming freshman for Fall 2013. Student A is assigned Tracking Term 1. Student A registers at orientation for a full-time schedule. Fall 2013 - ~14 th Day Fall 2013 - ~14 th Day – Predicted On-Track – Student receives an email informing her of “Predicted On-Track” status – Advisor receives a report on the student’s status – Student can view predicted status at MyUTK Spring 2013 Summer 2013 Fall 2013 (September)

Scenario 1 – Student A Fall 2013 - End of Term After Grades Post Fall 2013 - End of Term After Grades Post -Student is officially evaluated as “On-Track” for the Fall 2013 term. -Student’s tracking term increments to Tracking Term 2. -Student receives an email notifying her of her “On-Track” status. -Advisor receives a report of the student’s status -Student can view status on MyUTK -Advisor can view status on Self-Service Banner and Academic History ---------------Fall 2013 (December)------------

Scenario 1 – Student A Spring 2014 – End of Term after Grades Post Spring 2014 – End of Term after Grades Post -Student doesn’t meet term 2 milestones -Student is officially evaluated as “Off-Track 1” for the Spring 2014 term. -Student’s tracking term increments to Tracking Term 3. -Student receives email notifying of “Off-Track 1” status. -Advisor receives a report of the student’s status -Student can view status on MyUTK -Advisor can view status on Self-Service Banner and Academic History -Advising flag will be set next time advising flags are applied (Sept 2014 for Spring 2015 term). --------Spring 2014 (May)------------------ Fall 2014 (Sept)

Scenario 2 – Student B Spring 2014 – First Day of Term Spring 2014 – First Day of Term – Student still “Off-Track 1” – Student B meets with his advisor during the first week of classes and makes appropriate changes to his Spring 2014 schedule. Spring 2014 – ~14 th Day Spring 2014 – ~14 th Day Predicted On Track – Student receives an email informing him of the “Predicted On-Track” status – Advisor receives a report on the student’s status – Student can view predicted status at MyUTK – Student B will need advising flag cleared during registration period for Fall 2014 (Feb – Apr) Spring 2014 (January) Spring 2014 (Feb-April)

Scenario 2 – Student B Spring 2014 – End of Term after Grades Post Spring 2014 – End of Term after Grades Post -Student doesn’t meet Term 2 milestones -Student is officially evaluated as “Off-Track 2” for the Spring 2014 term. -Student’s tracking term increments to Tracking Term 3. -Student receives an email notifying of “Off-Track 2” status and need to meet with advisor in order to change major. -Advisor receives a report of the student’s status -Student can view status on MyUTK -Advisor can view status on SSB and Academic History -Registration hold will be set the first day of classes of the next term (Fall 2014) -Advising flag will be set next time advising flags are applied (Sept 2014 for Spring 2015 term). --------Spring 2014 (May)-------- Fall 2014 (Aug) Fall 2014 (Sep)

Scenario 2 – Student B Student does not attend summer school Student does not meet with his advisor Registration HOLD will be set the first day of classes of the next term (Fall 2014) Advising flag will be set next time advising flags are applied (Sept 2014 for Spring 2015 term). Scenario 2 – Student B Option 1: Student works with advisor to change major Student and Advisor decide on a suitable major Advisor changes student’s major (or refers student to advisor in new major) Student’s tracking status changes to “To Be Evaluated” and HOLD is automatically removed (advising requirement remains) Advisor determines appropriate tracking term for the new major Option 2: Student works with advisor to make a plan to stay in current major Advisor determines appropriate tracking term Student is changed from Tracking Term 3 to Tracking Term 2 Student’s status remains “Off- Track 2” until the next tracking analysis is run Student still has a hold and advising requirement.

Scenario 2 – Student B Option 2, continued Fall 2014 – First Day of Term Fall 2014 – First Day of Term -Student still “Off-Track 2” Fall 2014 – ~14 th Day Fall 2014 – ~14 th Day Predicted On Track -Student receives a status of “Predicted On-Track,” because he is currently in his Tracking Term 2 course. Student receives a grade of F in his Tracking Term 2 course. Fall 2014 (August) Fall 2014 (Sept) Fall 2014 (Dec)

Scenario 2 – Student B Fall 2014 – End of Term after Grades Post Fall 2014 – End of Term after Grades Post -Student still doesn’t meet Term 2 milestones -Student is officially evaluated as “Off-Track Final” for the Spring 2014 term. -Registration HOLD is (re)placed on the student. -Student’s tracking term increments to Term 3. -Student receives an email notifying of “Off-Track Final” status, the need to meet with advisor in order to change major, and that all registration for future terms is subject to cancellation. ------------------Fall 2014 (Dec)-------------------
