You can apply the instructions and use your own county data to practice the step-by-step process, but first perform a backup of your data.

17 ExitTOC TIMSNT Introduction 2003-Part 2 17 Grade/Program Eligibility Same as PTS-III/TIMS An eligibility type refers to a collection of boundaries – attendance, walk, hazard - that define pickup policy. Students in grade ‘x’ at school ‘a’ do or do not get transportation if they live at a certain location Can vary by school/grade combination. Affect transportation when you post boundaries as various types for a school and then assign students to stops based on eligibility

18 ExitTOC TIMSNT Introduction 2003-Part 2 18 Grade/Program Eligibility We generally use same boundaries – attendance, walk, hazard – for all grades at a school, so we only use one eligibility type. Most NC districts don’t assign based on eligibility, anyway.

19 ExitTOC TIMSNT Introduction 2003-Part 2 19 Grade/Program Hazards Segments in geocode can have 4 hazard settings. Each setting defines a group of segments posing similar levels of danger to students crossing them Setting the hazard level for a grade keeps a student from being assigned to a stop they would have to cross the street to access.

20 ExitTOC TIMSNT Introduction 2003-Part 2 20 Grade/Program Hazards The 4 levels are not incremental. They refer to discrete sets of segments.

21 ExitTOC TIMSNT Introduction 2003-Part 2 21 Grade/Program Hazards A possible scheme: The most hazardous segments – example, 4 lane limited access highways – would be given hazard levels 1 through 4. The next most hazardous set would be 1 through 3, etc. The default program would be:  Grades 9-12 level 4,  Grades 6-8 level 3,  Grades 3-5 level 2,  Grades PK-02 level 1.

31 ExitTOC TIMSNT Introduction 2003-Part 2 31 Schools Menu Clusters A set of schools grouped together to streamline the process of transporting students. Clusters have names. Example: PMH for Piedmont Middle and High Not limited to three characters. A cluster stop number consists of the cluster name and a sequence number Example: PMH.001 Cluster stops are created exactly like regular stops.

39 ExitTOC TIMSNT Introduction 2003-Part 2 39 Student Layers A group of students displayed graphically is a layer. Student layers appear in the legend as assigned, partially assigned, or unassigned- depending on whether trips have been assigned to a stop. To display a student:  Go to Students > Display and the “Student Edit Selection” Dialog Box appears  Type the last name “Smith” and press Tab key  Click Find  Click on student “Amanda Smith” and click OK

40 ExitTOC TIMSNT Introduction 2003-Part 2 40 To display a group of students:  Go to Students > Display and the “Student  Edit Selection” Dialog Box appears.  Click on student “Aaron Smith” and while holding mouse key, drag down to student “Alexander Smith”.  Click OK Student Layers Whenever changes are made to student (or stop, run, or route) records, the screen can only be updated to reflect the changes by closing and reopening EdulogNT.

41 ExitTOC TIMSNT Introduction 2003-Part 2 41 Student Database To open existing student files:  Double-click on the individual students name. In this example we will select “Adam Smith” To access, go to Students > Tabular.

42 ExitTOC TIMSNT Introduction 2003-Part 2 42 To enter a new student:  Type “Gibson” in last name field.  Press Tab key to enter first name field, type “Mel”  Click New.  Enter School Code “308”, grade “KI”,  For location fields - (two methods) 1. Click on mouse button and click the point on the map corresponding to the address. The address will automatically copy to the Location box. 2. Type in address manually. Click Copy to copy Location to Residence Address (Res Addr) Student Database

Here you will enter all the trips required for that students complete weekly transportation- including “regular” (to/from school) trips, extracurricular, and other special trips. Click on the “Trips” box and the box title changes to “Request.” What is a trip? What is a request?

47 ExitTOC TIMSNT Introduction 2003-Part 2 47 Trips Trip – one portion of a student’s daily travel Consists of travel between any origin and destination Change of origin or destination requires another trip Examples: home to school in the morning is one trip. School to daycare in the afternoon is another trip Each trip has a frequency of use. Example: home to school on MWF is one trip, Grandma’s to school on TTh is another trip.

A request begins automatically with two default trips- home to school and school to home. Edit the home to school trip first by highlighting the trip record and clicking Edit. 56 ExitTOC TIMSNT Introduction 2003-Part 2 56 Creating Trips Complete Trip Data Entry Form by selecting frequency. (Default will be Monday through Friday) Click Confirm when finished. Returns to display of student trips.

57 ExitTOC TIMSNT Introduction 2003-Part 2 57 Creating Trips and Requests Add additional trips to the default request as desired. To create a new trip, make sure Trips are activated and not Requests, then click Create and complete Student Transportation Information and Trip Data Entry Form. To create a new request, click the Trips box to activate the Request mode. Click Create, then follow the trip creating procedure to create trips in this new request.

59 ExitTOC TIMSNT Introduction 2003-Part 2 59 Student Edit: Relocating Students A student can be relocated in the tabular mode - not in the display mode. Go to Students-Tabular. Click on new location and copy to residence address field. Confirm changes to student record. Assigned trips become unassigned. Trips for new address can be assigned in tabular or display mode. To assign in display mode: load students layer go to Graphical- Assign

60 ExitTOC TIMSNT Introduction 2003-Part 2 60 Practice - Student Relocation Student, Brooks Hudson, moved from 94 Norris Lane to 225 J R Lee Road. Make sure students layer is loaded. Change Brooks’ address. Reload the students layer to reflect the change. Now, assign his trips in the graphical mode.
