2 Role Module 8 – User Admin Objective –To understand the functionality of the Administrative Application for Map Display and/or MMS, the roles available and how to assign them to users Audience –Healthcare communities’ designated User Admins –Programme management –Trainers Format –Instructor-led presentation and demonstration –Questions, discussion and hands-on practice by participants Duration –ca. 1 hr 2

3 Role Module 8 – User Admin Module contents This module will cover: 1.Admin application functionality 2.What permissions a user needs and what role to give them

4 Role Module 8 – User Admin The User Admin role –Each Local Health Community has one or more nominated User Admins, who may be responsible for: –Processing registrations for new users –Adding new users –Assigning roles and permissions to users –A User Admin should not issue a user with a role other than Viewer in Map Display until the user has received the training for that role –The User Admin, together with the Programme Manager, should ensure that, when people leave the organisation or move jobs, someone else is appointed to the role so that there is always someone to respond to feedback, prevent expiry of care maps and so on

5 Role Module 8 – User Admin User Administration in Athens regions In regions that where users access the Map of Medicine using the Athens authentication system, a number of common tasks are handled by Athens. Users Administrators do not carry them out manually. They include: –adding and removing users –processing registrations –resetting passwords User Administrators in these regions only carry out the following tasks: 1.Updating an existing user’s details 2.Updating an existing user’s permissions, by adding or removing one or more of the following extra roles: –Feedback Reviewer –Local Admin Editor –Release Manager

6 Role Module 8 – User Admin Accessing the Administrative Applications –There is one application for Map Display and another for MMS –Users’ accounts for Map Display and MMS are entirely separate –Access the Administrative Applications for: –Map Display at http://app.mapofmedicine.com/adminapp/http://app.mapofmedicine.com/adminapp/ –MMS at http://localise.mapofmedicine.com/adminapp/http://localise.mapofmedicine.com/adminapp/

7 Role Module 8 – User Admin Supported browsers –Currently, the Admin Applications are supported on the following internet browsers: –Internet Explorer 6, 7 and 8; –Firefox 1.5, 2, 3 and 3.5 –They are supported on the Windows XP and Windows Vista operating systems. 7

9 Role Module 8 – User Admin Roles There are four roles that a user can have in Map Display: –Viewer –Feedback Reviewer –Local Admin Information Editor –User Admin (Release Manager) And five roles that a user can have in MMS: –Reviewer –Editor –Approver –Publisher –User Admin (Release Manager) All users should be given the Viewer role. Other roles should be granted in addition to the Viewer role. 9

11 Role Module 8 – User Admin Map Display – Viewer Viewer is the basic user profile which gives the user access to all the content within Map Display. Viewers are able to: –Navigate Map Display –Switch freely between different communities’ views of the Map –Add and edit personal notes –Print pages (with or without their own notes) –Submit feedback about content and usability –Receive responses to their feedback 11

12 Role Module 8 – User Admin Map Display – Feedback Reviewer Feedback Reviewers are individuals who have been nominated and trained to handle feedback left in Map Display for their local healthcare community. A user with Feedback Reviewer rights has access to all the features of a Viewer, plus the ability to: –See all feedback left by users in their view of Map Display –Send responses to users who have left feedback –Escalate users’ feedback to the parent view, e.g. when it relates to national content –Close resolved feedback 12

13 Role Module 8 – User Admin Map Display – Local Admin Editor Local Admin Editors are individuals who have been nominated and trained to add and maintain local administrative information and referral forms in Map Display according to local governance arrangements. A user with Local Admin Editor rights has access to all the features of a Viewer, plus the ability to: –Add and edit local admin information within their view of the Map of Medicine –Access a report showing all local information added to their View –Add and edit local referral forms and letters on Referral nodes within their view Note: This is a different role from Editor in Map Management Suite 13

14 Role Module 8 – User Admin MMS – Roles and responsibilities 14 MMS roleReal world roleResponsibilities Editor Clinical Editors/Facilitators – Update the clinical content Reviewer Clinical Reviewers Governance Reviewers Editorial Reviewers – Review the content from clinical perspective – Ensure the content promotes safe practice – Proofread the content Approver Clinical Review Lead Governance Review Lead – Sign off the clinical content – Sign off the content from governance perspective and take medico-legal responsibility Publisher Programme Manager Care Maps Co-ordinator – Request publication of the release – Co-ordinate care map re-approval User Admin Programme Manager Librarian ICT Support – Give users appropriate access and rights Outside of MMS Programme Manager Map of Medicine Support – Set up community Map team – Ensure smooth running of the programme – Implement care maps

15 Role Module 8 – User Admin Release Manager Users with Release Manager permissions have been nominated and trained to log into the Admin Application and manage users for their view of the Map of Medicine. The Release Manager logs into the appropriate Administrative Application rather than Map Display or MMS: –Map Display Admin App: http://app.mapofmedicine.com/adminapp/http://app.mapofmedicine.com/adminapp/ –MMS Admin App: http://localise.mapofmedicine.com/adminapp/http://localise.mapofmedicine.com/adminapp/ A user with Release Manager rights has the ability to: –Log on to the Admin Application with user name and password –Process new registrations for their view –See all existing users who have a role in their view –Manage these users’ permissions –Manage these users’ details 15

26 Role Module 8 – User Admin New registrations –Once a registration has been accepted and activated: –The user will receive the approval email confirmation of registration (with customised text) –They will appear on the list of registered users for that view –They will be able to log on to Map Display using their email address and chosen password 26

30 Role Module 8 – User Admin Forgotten passwords (Map Display Only) –There is a forgotten password facility in Map Display –Upon providing the answer to the security question that the user set up when registering, the system will automatically generate a new password and send it in an e-mail to the user’s e-mail address –The use can access the Map Display using this password, and may change their password themselves in the Profile section of Map Display 30
