Why? Help audience [prospective students] ◦ Consistent info, regardless of location ◦ Catalog content is contract with students Simplify management ◦ No more Word docs, Excel, etc. ◦ Leverage existing CMS functionality

New CMS roles Editors ◦ Within each department ◦ Can edit departmental catalog content ◦ Cannot publish changes Managers ◦ 1-3 per College ◦ Can edit content across depts in their college ◦ Cannot publish changes Admin ◦ Registrar ◦ Can edit content across whole site ◦ Publishes Catalog ◦ Can publish changes* (see next slide)

Staged Process Hard Deadline – “gone to print” Stage 1 Open Edit May 1 -------------------------------- Mar 31 (Making changes for next Academic Year) NO PUBLISH* * Editors may NOT publish catalog changes * Editors MAY publish changes to Supplemental content (see slide 6) NO EDITS* * Editors locked out * Changes require Admin approval & cost $100/hr Apr 1-15 Stage 2 Mgr. Review Apr 15-30 Stage 3 Admin Review Final review/approval Publication – (HTML) NOTE: For this first implementation, necessary fixes and other changes will be allowed without fee. See Slide 8 for details.

Make degrees identical Dept. degree content is copied directly into ‘official’ catalog Catalog Editors may create/edit content w/in dept. sites, but changes only published by Admin at end of cycle Add ‘Admissions’ section for degree- specific admissions content Non-contract content separated from contract content (next slide)

4. Added functionality Degree Supplemental Content ◦ Add/Edit/Publish/Delete at will – regardless of stage of Catalog tool ◦ Career Options List any possible careers for a degree ◦ Learn More Completely open content Images, Videos, recent trends, etc.

Rollout & Support This functionality was rolled out on 12/2 ◦ Existing catalog content (degrees) was replaced with 2012-2013 catalog content ◦ Changes to degrees will be allowed without ‘late fee’ charge. Ongoing ◦ Online documentation/instructions are available alongside existing CMS documentation: ◦ IT resources will be available for issues, questions, instruction for the duration of this first full catalog process
