Teacher Portal for Counselors Presentation by Jenny Marx October, 2011

Overview-What is Teacher Portal? It is similar to Infinite Campus (IC) Like IC, you can use it to look up student information You can run various reports and get a lot of different information out of it

Overview-WHY use Teacher Portal? Gives you access to all students in the district, so you can make powerful comparisons. Can make a nice PDF report with all info in one place-nice for things like SIT meetings. In looking at certain student info such as attendance/grades, it is easy to read and includes previous years all in one place (without having to change years like you do in IC) Faster at pulling up assessment data. Has many options for reports.

Basics-How to get to Teacher Portal Go to DPS home page Click “staff” Click “Teacher Portal” and log in Click on open door icon in the middle of the page and log in again. – Login=same username and password as IC

Basics-How to look up a student Go to “Find a student” in top right corner – If you put in a partial name, hit “enter” and look for your student in the list. You can now look at student information.

Basics-Student Information Student Overview – Gives current info for demographics, attendance, behavior, grades and testing. Enrollment and Academic Record – Shows several years’ worth of grade and attendance information (as long as student has been in the district) Create PDF (for SIT meetings, etc.) – In upper right-hand corner, click “create PDF” and then click “student overview”. If you want something more specific, feel free to experiment with the other options. Look at the other tabs too and explore!

Reports: Pre-formatted Reports How to get there: in the upper part of the main screen after you log onto Teacher Portal/School Net, hover over “School and District Data” and then choose the second option “report builder” and go to pre-formatted reports. Demographic Overview – Gives you a picture of basic demographics of your school, e.g. ratio by gender, ethnicity, etc. Behavior Events – Show how many and what type of behavior issues, to date, are happening at your school (e.g., detrimental behavior, repeated defiance). Behavior Resolutions – Shows what types of resolutions and how many of each type have taken place at your school so far this year (e.g., referral to law enforcement, in and out of school suspensions)

Reports: Create a Student Set Why? -Because otherwise you get ALL students in the district when you try to make a report! How? Go to School and district data/report builder/build a student set/create a filter. In creating a filter, I usually go to enrollment, then choose my school and choose “current enrollment”. You can save this student set to use over and over again.

Reports-Building a Student Set, Cont. Apply filter Crossroads: you can now add more filters, choose to build a custom report, or go to analysis spreadsheet. More filters=one way to drill down further. Custom reports=allows you to look at more of an overview. If you want a list of individual students from a report, you will need to keep clicking on the details in the chart/graph. Analysis Spreadsheet=is a way to fine-tune what you want in a spreadsheet. It is my favorite and I use it the most by far.

Reports: Analysis Spreadsheet Apply filter(s) Define columns – You can do many columns from different data sources (demographics, schedule and programs, attendance, student summary)

Reports: Analysis Spreadsheet, Cont. Column Options – Sch + Pgm Enrollment Gifted and Talented Sped Teacher Grade Level Programs – You can choose from several options to “drill down” if desired – Example=English Language Learners-gives list with latest CELA score

Reports: Analysis Spreadsheet Cont. – Attendance Options include attendance rate – Student Summary Gives parent name/phone number, etc.

Reports: Examples Attendance – How to make the report in Teacher Portal – How to export to Excel – What can be done in Excel ELA – How to get a list of all ELA students with latest CELA scores, along with other info you might want Transitions – With access to the whole district, compare your students to others or look at students after they have left your school to see how well you’ve prepared them for the next level.

Troubleshooting and Tips Help Icon=Yellow and White Question Mark Keep it simple! Ask others and experiment/look around!
