6 Accessing Customer UF Maintenance 4 Access to Customer UF Maintenance is via the same standard menu options 4 Available wherever DMAS customer maintenance has been available

7 Return to Customer Master Summary Accessing Customer UF Maintenance Customer UF maintenance is accessible via any standard DMAS customer maintenance menu option The user enters Customer UFM by taking any available customer maintenance menu option If the command line is available to the user, the UCUST command may also be used.

8 Work with Customers 4 The initial Work with Customers screen displays a list of existing customers 4 User options available to allow user to go directly to any detail customer maintenance screen 4 Additional options allow user, for a given customer, to go directly to –Customer inquiry –Customer Ship-To maintenance

10 The S=Ship to option is used to work with the ship-to records for a particular customer (takes you to Customer Ship-To UFM) Options are used to perform various actions on an existing customer Function keys are used to navigate to other views and perform functions that do not relate to a specific customer Work with Customers The initial Work with Customer screen is view 1 of a list of existing customers

11 The status of the customer record, the customer’s name, and the customer’s city, state and zip is displayed Existing customers are listed in customer number sequence The list of displayed customers may be limited by using the selection fields Work with Customers The initial Work with Customer screen is a list of existing customers (view 1) Four additional alternate views of this screen may be viewed by pressing the function key. 16 Finding Customers 4 Entry capable line for sub-setting the list to include only desired customers, such as –Position the list to start with a particular customer number –A specific A/R account type –Customers whose name and address fields contain a specific character string –All customer records that have a specific status 4 Multiple selection fields may be used at the same time to further limit the displayed list of qualifying customers

17 Finding Customers Position customer list to start with a particular customer number The search could have been for a specific state, zip code, or status

18 Finding Customers Finding all customers within a specific city The selection could have been for a combination of the listed selection fields

19 Finding Customers Displaying customers that all have the characters “INDUSTRIAL SUPPLY” anywhere in their customer names Searching for names that “contain” a specific character string To search for only those customers whose name field starts with “INDUSTRIAL SUPPLY”, the user would key “INDUSTRIAL SUPPLY” with NO leading blank When searching for a character string that appears ANYWHERE within the field, leave the first position blank, followed by your character string.

20 Finding Customers Searching for customers based on street address This selection shows two customers whose street addresses start with “698”. The “698 may be in either the Address Line 1 field or the Address Line 2 field. Cust # 59:Cust # 109:

21 Finding Customers Displaying all customers that have a specific status This selection shows a group of customers that has been marked for deletion.

22 Finding Customers Displaying customers that are monthly customers and have a specific credit check code This list includes only customers that are monthly customers and have a credit check code of “hold” if they are over their credit limit.

23 Finding Customers Displaying all customers that have Terms 11 and subject to sales tax with a tax body of 106000 This selection is made up of 3 selections; Terms = 11, Sales tax code = 0, and Tax body = 106000

24 Finding Customers Displaying all customers that have a Salesrep of 12 and a phone number that starts with an area code / exchange of 803/555 This selection is for customers assigned to salesrep 12 and have at least one phone number that starts with area code of 803/555....

25 Finding Customers Displays all customers that have at least one phone number that contains the character string 555-3530 Successful searches of this type depend on phone numbers being entered with a consistent syntax

26 Finding Customers Selecting customers that have at least one e-mail address This “contains” search finds all e- mail addresses Return to Customer Master Summary Since all e-mail addresses must contain one “@” symbol, this search will find all e-mail addresses

27 Subset List (customer) 4 The subset list function provides –Similar selection abilities as the Work with Customers selection line –The ability to select customers using the same fields as available on the 5 alternate views but all listed on two screens –Designates which fields are subject to “equals to”, “contains”, and/or “begins with” selection

28 Subset List (customer) Page 1 of the Subset Customer Records screen An asterisk (*) indicates that a selection may be either a “contains” or “begins with” selection An equal sign (=) indicates that the field is an “equals” selection field For an asterisk (*) field, the entry is a “begins with” if the keyed entry begins in the first position. The entry is a “contains” if the first position is left blank, followed by the keyed entry.

29 Subset List (customer) Page 2 of the Subset Customers Records screen For code fields, the valid entries are listed Use the Page Up and Page Down keys to move between the two screens When all selections are made (on both pages if necessary) the selection is made by pressing the Enter key Return to Customer Master Summary

30 Setting Customer Defaults 4 Defaults for adding new customers may be set by using the F8=Set defaults function key on the Work with Customers list screen 4 When setting defaults, the first customer maintenance screen is displayed (company, customer number, and branch fields are protected) 4 The user then navigates through the six standard DMAS customer detail entry screens, keying default data into any field for which defaults are desired 4 When finished, press the F2=Update function key to set the defaults

31 Setting Customer Defaults The user enters the “set default” mode by using a function key The user presses the F8=Set defaults function key to enter defaults to be used during the process of adding new customers

32 Setting Customer Defaults The user keys the default data into the desired customer data fields The company, customer number, and branch fields are protected The user may key default data into whichever fields he (or she) wants to have defaults The user may navigate to the next customer maintenance screen by pressing the Page Down key All default screens are the same as those for adding a new customer and are not all shown here Press F2 to save the defaults Return to Customer Master Summary

33 Adding a New Customer 4 Customer “add” mode is started by using the F6=Add customer function key on the Work with Customers list screen 4 When adding a new customer by keying, the first customer maintenance screen is displayed requesting the company, customer number and branch of the customer to be added 4 The user then navigates through the six standard DMAS customer detail entry screens, keying the appropriate customer data on each screen 4 Customer entry screens contain fields of common data 4 When finished, press the F2=Update function key to add the new customer

34 Adding a New Customer The user starts customer “add” mode by using a function key The user presses the F6=Add customer function key to enter a new customer

35 Adding a New Customer The user identifies the customer to be added as well as basic customer information The user defines a unique identifier for the new customer by entering the company, customer number, and branch Other customer information is then entered such as customer name, address, etc. as well as some A/R related data The user may navigate to the next customer maintenance screen by pressing the Page Down key

36 Adding a New Customer The Billing Data screen is displayed next The user keys customer billing information for the new customer The user may navigate to the next customer maintenance screen by pressing the Page Down key, or return to the previous screen with Page Up Numerous fields are supported as F4=Lookup fields

39 Adding a New Customer The Sales Statistics screen is displayed next (if not “hidden”) This maintenance screen is normally used ONLY when DMAS is initially being installed The user may navigate to the next customer maintenance screen by pressing the Page Down key, or return to the previous screen with Page Up This screen may be “hidden” during maintenance (default is “hidden”) by pressing function key F13

40 Adding a New Customer The User Defined Fields screen is displayed next (if not “hidden”) This screen may be used to allow maintenance to “user defined” fields within the customer master and/or extended customer master files (contact I/O for specific field tailoring) Return to Customer master Summary The user may return to the previous screen with Page Up This screen may be “hidden” during maintenance (default is “hidden”) by pressing function key F13 Press F2 to add the customer

41 Maintaining Existing Customers 4 The user selects which customer AND which of the detail screens for that customer to maintain 4 Once maintaining a customer, the user may navigate through ALL details screens for the customer if desired (similar to Item User Friendly Maintenance)

43 Option 2=Change 4 Entering option 2=Change takes the user to the detail screen that supports the alternate view displayed at the time the option was entered 4 For example, if alternate view “3” is displayed when option 2 is entered, the Billing Date (page 2) screen will be displayed Return to Maintain Existing Customers

44 Select A Customer Select any one of the available detail screens for a specific customer Use any of the available options to view one of the detail screens for a specific customer such as 2=Change, 6=N&A A/R, 7=Billing, 8=Contacts, 9=Misc Once a detail screen is displayed for a specific customer, other options become available via function keys
