1 Recognition Adobe Sessions May 2009 Session 1: Student Recognition Records on SCIS and CLAMS

2 Background to SCIS Created in 1990 All paper records back to 1973 entered on SCIS for students and courses Microfiche copies maintained for earlier records, obtainable from TAFE Central Student Services (Cheryl Rochford) SCIS = Student Course Information System SIS = Student Information System CIS = Course Information System

3 Interface between SCIS and CLAMS CLAMS was created at least 10 years after SCIS Primary CLAMS unit/ module enrolment, attendance and result information is entered by teachers All Recognition results are entered by Campus Student Services Recognition results entered on SIS upload to CLAMS only if an enrolment already exists in CLAMS for the unit or module

4 Chronology of CLAMS Entries A student is enrolled in CLAMS in a unit Recognition is then processed for that unit R will appear in the Result column

6 Viewing all Recognition in a course Students can gain recognition at any time, or have results in their course from a previous year You should view their full record on SIS by using the SIS icon in CLAMS Select the student from the class list and click on the face icon The TAFE Enrolment Search Screen for that student will appear Select the current course

9 Amending the CLAMS enrolment It is possible to inadvertently enrol a student in a unit even though Recognition has already been granted The Recognition already entered will NOT upload to the later enrolment on CLAMS You should un-enrol the student from the unit if you know they have gained Recognition already. HOWEVER, if the student has attended class for a period of time and has participated in learning, even though Recognition has been granted, you need to enter a result, WN. This is the true result for the attendance, and is important for insurance and possible legal obligations.

10 100% Recognition You do NOT need to create a CLAMS roll if you are processing 100% Recognition The yellow and purple forms add the results to the student’s enrolment The student must have a course enrolment.

11 The problem of MY results If you do create a CLAMS roll, and the Recognition process may go over the end of the calendar year Avoid using MY results, which relate only to the current calendar year If Recognition is not finalised by the end of the calendar year, either unenrol the student, or lodge a Not Approved form.

12 Not approved Recognition Not approved recognition still attracts ASH. Lodge forms with No shown as the outcome Make it clear by highlighting or note attached that a NO Outcome is on the form The No outcome is NOT visible on SIS

13 What current entries may appear for Recognition? All recognition will be at the end of the student’s record N = Non=standard Exemption (yellow form) S = Standard exemption (purple form) M = Mutual Recognition (purple form) T = TAFE Exemption (equivalence with no result transfer) P C = Pass by Credit Transfer (with result), C C = Credit by Credit Transfer (with result) D C = Distinction by Credit Transfer (with result) P Q = Pass by Equivalence (different unit with result) C Q = Credit by Equivalence (different unit with result) D Q = Distinction by Equivalence (different unit with result)

14 Older Recognition Entries Advanced Standing Arrangements were created around 1999 Prior to this, from 1990, Equivalence existed. Equivalence entries look different and still exist in some older records.

16 Changes to reporting of results Change took place in the 1990s in records with A, B, C results A became Distinction, B became Credit, C became Pass Old transcripts with A, B, C cannot be reproduced unless they are on microfiche

17 100% Recognition – needs manual completion

18 How to manually complete You will need to ask your campus administration office to manually complete the student. They need to change the Payment Parameters to show 100% Recognition Then completion can take place
