MRB System Training - Objectives
At the end of this training you should know: What the MRB system is Who uses it and for what How to access the system How to initiate and complete a new MRB How to find the status of an existing MRB Where to get more information How to suggest improvements Note: This training does not cover the entire details of MRB procedures. Please refer to spec # for details on the MRB procedures.

Definitions Non-conforming Product – SunPower product that does not meet requirements. It includes product at any stage of manufacturing that does not conform to requirements. The following are identified product stages which may have non-conforming product. Incoming - Direct Materials may be found to be non-conforming during incoming verification or inspection. In-process – Product being manufactured may be found to be non-conforming during in-process measurements or inspection. Finished product – Finished goods may be found to be non-conforming during testing, finished-product inspection or audit, or by a customer. Material Review Board - a group with defined membership who meet as required to disposition non-conforming product, and work to ensure that problems are corrected to prevent future non-conformances.

What is the MRB System? The Material Review Board (MRB) database uses the web-based CATSWeb software to track and keep records of MRB meetings, dispositions and decisions. CATSWeb is also used for Corrective and Preventive action tracking.

Who uses the MRB system? Originator – Manufacturing, Receiving, Shipping or Quality Employees responsible for reporting nonconformities at any stage of product realization QA Representative - QA representative reviews and approves (or rejects) the request and works with appropriate people to assign an owner. They act as scribes during MRB meeting. They also do the final verification and closure. Owner - The OWNER can also be anyone in the company, but will be assigned with manager consent based on problem knowledge and ability. The OWNER may also assign actions to other team members. Reviewer/Approver - Within the MRB process approvals are required from the Engineering Manager / Representative, QA Director / Representative, and Operations Director / Representative. REVIEWERs are notified by when an MRB requires their review. QA, Engineering, R&D (Product Engineering) – This is a technical person from the QA, Engineering, or R&D Department, who conducts necessary evaluations and provides recommendations from which the MRB Group bases its decisions. All Employees - Everyone can access the system to view current and closed MRBs and check on their status.

How to access the MRB System
The MRB System is accessed in the same way as the CAPA System. Open up a browser and access this URL address: You must be logged into the computer as yourself in order to successfully use the system. If traveling, you must be on VPN. Save the CATSWeb link to your ‘favorites’ for easy access. There is also a link on the Intranet homepage.

Connect to CATSWeb Enter your computer login with the following format: SPMM/SPML Users: Other Users: Example: Enter your computer login password. Mark this so that you don’t have to reenter your user name every time you open up CATSWeb.

CATSWeb – General Rules
Always use one-click on the mouse. Do not double click. Avoid using the “Back” button after clicking on submit. This symbol denotes that the page will reload after clicking outside of the field. Wait for a few seconds for your screen to reload/refresh before proceeding to the other fields. Beige-colored fields are Mandatory fields, and must have an entry. Forms in Add Mode cannot be closed. If you want to close it, Add it first with the Status as “Open”. Then close it by going into Edit mode. Signature passwords for reviewers are set to “catsweb” by default. Fields, marked with “*”, are mandatory on closure. Most underlined phrases or words are Hyperlinks.

25 Steps to get you going on the MRB System Logon to CATSWeb. (Follow procedure on slide 7) Click the “MRB” link on the gray menu bar to the left. Click the “Initiate MRB Request” on the upper part of the page.

4. When the MRB Request form comes up, fill up the fields and hit “Submit”. Remember the Rules on slide #9. 5. The MRB request goes to the QA for review and assignment of owner. 6. Then the owner goes to his Hot List. (Located in the Main Page) And clicks the MRB Request link.

7. The Owner then clicks the “Create New Action” to start an MRB. 8. Fill up the fields. (Don’t forget about the Mandatory fields) 9. To ensure correct name is placed, use the “Name Search” feature to add names for additional approvers. Warning: Directly typing in the “Additional Approvers” field is discouraged. To use the “Name Search”, 1) enter a name or part of name into the “Name Search” field and hit the Rounded Button. 2) Then choose the name from the list that comes out in the “Search Result”. 3) Clicked or chosen names will be added automatically. To remove names, click the “Additional Approvers” field and delete the unwanted name.

10. Click “Submit” when done. 11. Proceed to Technical Evaluation section and click “Assign to Technical Person”. 12. Go to the lower part and assign it to the appropriate person. 13. Click the Action number link to bring you back to the main MRB form.

THIS SLIDE IS FOR TECHNICAL EVALUATION 14. Upon assignment to a Technical Person, the assigned person can go to the MRB and use this link. Two things can be done through this link: A) “Reassign” the Engineering section to another person. B) Edit (Data Entry / Revise / Close)

How do we use the MRB system?
15. When the Technical Evaluation section is completed, the QA Representative convenes a meeting of the appropriate members of the Material Review Board. It is recommended that the QA Rep access the MRB in CATSWeb during the meeting for easy reference to the Technical Recommendations and to enter the MRB decisions directly.

How do we use the MRB system?
16. Link to an appropriate CAPA. A CAPA can be related to an MRB in two ways: A) If the MRB was initiated due to a CAPA – Enter the CAPA Number in the field, while the form is in Edit Mode. (This can be done during the MRB meeting.) B) If one of the decisions of the MRB is to initiate a CAPA – Click the link to initiate a CAPA Request (this is right below the ‘CAPA-Initiated MRB’ field and it only viewable after submitting the form. All CAPA Requests will later appear to the right of the link.

17. When the meeting is over and all the decisions are entered, the QA Rep submits the form. 18. The link for follow-up actions then comes out. Click this to add a follow-up action as determined by the MRB. Repeat for as many actions as needed. 19. Similar to the Technical Evaluation Section, the “Reassign/Edit” link directs you to: “Reassign” to another person “Edit” (Data Entry/Revise/Close)

20. When all follow-up actions are entered, the MRB is ready for signatures. Either the QA Rep or Owner can submit the request. Click Edit on the main MRB and scroll down to the bottom of the page. 21. Make any needed changes to the approvers (required members of the MRB). 22. When ready, select ‘Request Signatures’ and hit Submit.

How do we use the MRB system?
Note: The MRB will be locked when in the Request Signatures state. This means that: A. The main MRB fields cannot be revised. (Almost all fields except for follow-up actions) B. Follow-up actions can be added, edited, and reassigned. If the MRB needs to be revised, ask QA to Unlock the MRB. When ready to request for signatures, redo steps 23. All approvers receive notification for that their Signature Request is pending. Approvers can either click the link in the to access the record, or access the link thru the Hot List.

How do we use the MRB system?
24. To sign, click ‘Sign’ on the upper part of the MRB form. You may ‘Reject’ or ‘Approve’. Remember: A) ‘catsweb’ is your signature password. B) Add a comment if you reject the MRB. 25. The Material Review Board reviewers should ‘Approve’ the MRB if the decisions and follow-up actions agreed to in the meeting are accurately reflected. If any approver rejects the report, the owner should address the concerns and then ask the signer to approve. After approval by all of the MRB reviewers, the owner can close the MRB. To close the MRB: 1) Click ‘Edit’ on the main MRB 2) Click ‘Closed’ on the Status 3) Click ‘Submit’

How to find the status of an existing MRB?
Below are number of ways to check the status of an MRB: 1. MRB Page Filters – The MRB Page is equipped with two filters that shows open MRB Requests and MRBs, and a chart that shows all MRBs. The two filters are as seen in the image below. The chart is a drill down that shows further details when an element is clicked. 21 21

How to find the status of an existing MRB?
2. Reports Page – Charts are available on the reports page. These are drill downs. If you want to create your own table type reports, click the D-I-Y reports page. The IDs that come out are links to lead you to the MRB. 3. Number Query and Advanced Search– If the record number is known, the Number Query can be used to go directly to the record. Advanced Search can be used to do Google-like search. 22 22
