2 Shortcut Keys

3  Microsoft products have always contained shortcut keys that are designed to help you work more efficiently by allowing you to keep your hands on the keyboard rather than use the mouse.  In MS Word, it’s helpful to know some common editing shortcut keys.  Many of these shortcut keys will carry over into other Microsoft products.

4 Selection Shortcut Keys  CTRL + A Select All Text  SHIFT + Arrow KeysSelect Text one character at a time

5 Text Alignment Shortcut Keys  CTRL + RAlign right  CTRL + LAlign left  CTRL + EAlign center  Remember – the text that you want to align has to be selected FIRST!

6 Text Editing Shortcut Keys  CTRL + BBold selected text  CTRL + IItalicize  CTRL + UUnderline  CTRL + [Decrease font size  CTRL + ]Increase font size  CTRL + CCopy  CTRL + XCut  CTRL + VPaste  CTRL + ZUndo

8 Practice  Open a new Word document  Starting on the first line, create a list using the following information. Put one answer per line.  A. Your first and last name  B. The name of our school  C. Your parent(s) or guardian(s) names  D. Your birth date  E. The college you might consider attending  F. A career path you are interested in  G. The kind of car you would like to own someday  H. A friend’s name  I. Your parent(s) or guardian(s) occupation  J. One sentence explaining why you have chose the career you listed for “F”  K. Save the document as Shortcuts

9 Practice (continued)  Using shortcut keys only….  Italicize your name  Bold the name of our school  Underline your parent(s) or guardian(s) names  Italicize, bold, and underline your birth date  Increase the font size by 2 points of the college you might attend  Decrease the font size by 2 point of your possible career choice  Center align your choice of car  Right align your friend's name  Copy your parent(s) or guardian(s) occupation and past it under their name(s), center aligned  Cut the sentence explaining your career choice and past it under your possible career path  Resave, print on Lab 1 (B/W printer), and turn in the document

11 Purpose and Limits  A file name should be descriptive and help remind you of what the file contains, making it easier to find later on.  MS Word allows you up to 255 characters to name a file  The File Manager window usually displays approximately 30 characters plus the file extension  Symbols are not allowed, and will return a “File name is not valid” response  After you save, is the file missing the program icon? Make sure you didn’t remove the.docx file extension. If you did, simply rename the file and add it.

12 Practice  Create a new Word document and save it as File Names.  Create an appropriate file name for each of the following files:  A letter to Binda’s Boutique requesting a catalog  A report entitled “Possible Problems Due to Global Warming”  An announcement for a reception to be given in honor of a retiring executive, Serena Marsh  Minutes of the November board of directors’ meeting of Eastern Seaboard Insurance Company  A mailing list for sending newsletters to all employees of Sheehan Global Enterprises  A press release written by Earth! To the media about a one-day event called Live in Harmony with Nature  A memo to all employees explaining new vacation time policies at Johnson Works, Inc.  Resave the file, print and turn in.
