1 Opening Ceremony – 10 am Saturday 9:50 am - Gather entire team at center stage for kick off 1 st lap around track All participants repeat the Relay Oath ( handed out at ceremony) Fight Back Ceremony – 10:30AM Saturday Gather Team at center stage Sign the HOPE Banner Time Line and Ceremonies Silent Auction – 3:00 pm – 5:00 pm Turn in silent auction items from 12-2 Bidder numbers can be picked up in front of the auction barn starting at 12:00pm Bidding ends at 5:00 pm sharp Bring items in a gift basket if possible Make a copy of the gift certificates and the actual gift card turned in by noon Lumanria – 9:45 Saturday Preparation Bring a lighter The candles will be delivered in the afternoon – and will be through out the fairgrounds for you to get, the bags can be filled and placed around the outside of the track at any time – candles not until late afternoon as they may melt Space bags out to complete a full circle around track Light Lumanria candles and Tiki torches 15 minutes before ceremony Entire team to center stage to participate in ceremony Quiet during the ceremony Clean up – Candles and deli cups are discarded Survivor Ceremony- 6pm Gather half of your team in bleachers in front of stage – 5:50 pm Survivors and caregivers gather in front of stage on track Clap and cheer the survivors on as the make their way around the track A reception for the Survivors will take place following the “Victory Lap” Closing Ceremony- 7:30 am Sunday Gather team at center stage for awards and final lap Do not begin tear down of campsite until all teams walk the final lap at 8am Clean up will begin after the final lap Your Team will be covering _______________ at_________ Survivor Tent- Help register survivors, serving them, welcoming them – Ask for Roseanne or Mary at Survivor tent across from the stage. Auction Area - Please have as many team members as you have available to go to auction area – See the Louise at the barn by the north west entrance Restroom Check – Check for toilet paper and cleanliness –Let Greg Pearson know if they are in need of anything Information Tent- Just help new participants, hand out pamphlets *1 hour increments Sports Olympics – 12:00am through the night Center field Each team will need 4 participants

2 Emergency Information  In case of emergency dial 911  First aid will be available at the Stage  In case of Tornado warning there will be an announcement over the loud speaker to make your way the bathrooms, office Or shower rooms We walk rain or shine unless there is lightening Then we stop and take shelter in our camper, car and We wait 30 minutes from last strike to resume Banking Information DO NOT ADVERTISE BANKING HOURS OR LOCATION. Please roll full coin rolls. Remaining coin can be loose. Banking Times – TEAM RALLY 12 pm – 12:30 am (Saturday) 7:00-7:30 pm (Saturday) 12 am – 12:30 am (Sunday) Checks made out to – American Cancer Society or Relay For Life Do not give money to bankers outside of banking hours Information Emergency Contacts  Theresa Hurley 810-853-0097  Kandy Wells Chair– 810-358-0994 Logistic Information  No 4 wheelers, personal golf carts or the like are allowed on the track at any time.  Please park in the designated parking lot  Campfires must be in a raised portable fire pit, with solid bottom, no screens  Please take care to not burn the grass  DO NOT place ashes in trash containers – dispose in designated areas  Trash containers are located through out the fairgrounds – at no time should sand be dumped into these containers  Restrooms are open on the north side of the fairground and porta-potties are on the south side - if for some reason the restrooms need attention contact a committee member in an green shirt  No animals are permitted on site unless a leader dog No Alcohol No Pets No Smoking Awards – At Closing Ceremony  Most money raised on line by team  Best decorated camp site  Fundraising Club Team awards  Team Excellence  Most cancer survivors at event  Most Team Spirit  Highest Individual Fundraiser  Rookie Team of the Year  Highest Team Fundraiser - small team  Less then 14 team members  Highest Team Fundraiser - large team
